Position Overview
The University of Victoria is renowned for its dedication to experiential learning, providing students with invaluable opportunities to apply their knowledge in real-world settings. With a strong emphasis on practical learning, UVic has established itself as a leader in facilitating meaningful work experiences for students.
As part of one of the largest co-op programs in Western Canada, the university offers over 4,000 work placements annually, connecting students with employers across the nation and globally. Our Career Services department is dedicated to assisting students and alumni in their career development journeys, while our Community-Engaged Learning (CEL) team fosters partnerships between students and community initiatives.
Role Responsibilities
The Career Development Assistant plays a crucial role in providing administrative support to the Engineering and Computer Science Co-op and Career Programs. Key responsibilities include:
- Responding to inquiries from students, faculty, staff, and employers.
- Processing job descriptions for publication.
- Facilitating interview arrangements between students and employers.
- Maintaining accurate records and generating reports for review.
- Tracking necessary documentation and forms.
- Assisting in scheduling meetings and preparing various communications.
- Supporting the coordination and promotion of on-campus events.
- Managing budget expenses and financial documentation.
Collaboration is essential, as Co-op and Career Assistants work together to ensure a high standard of service across all programs. Reporting to the designated Associate Director, the Assistants may also support additional areas as needed based on operational demands.
Qualifications
Experience:
Applicants should possess a minimum of two years of relevant experience in a similar role, which should include:
- Providing comprehensive clerical and customer service support.
- Proficiency in standard office equipment and software (e.g., MS Office).
- Experience with databases and spreadsheets.
Preference will be given to candidates with:
- Experience in Co-op programs and/or Career Services.
- Familiarity with UVic information systems.
Skills and Abilities:
Candidates should demonstrate:
- Strong technical skills related to clerical tasks and the ability to adapt to various technologies.
- Attention to detail and accuracy in processing documentation.
- Excellent communication and interpersonal skills, with the ability to work effectively in a team and engage with the broader university community.
- Financial acumen, including basic mathematics and numeracy.
- Initiative and organizational skills, with the capability to manage multiple projects independently and collaboratively.
- Resourcefulness and the ability to handle diverse requests in a dynamic office environment.
Educational Background:
A secondary school graduation or equivalent is required.
