Job Summary

The Financial Awards Specialist plays a critical role in ensuring the accurate disbursement of Vancouver Island University (VIU) awards, scholarships, and bursaries. This position requires a high level of attention to detail, excellent communication skills, and the ability to work independently to meet multiple deadlines.

Key Responsibilities
  • Oversee all tasks related to internal VIU Scholarships, Awards, and Bursaries (SABs), including emergency requests.
  • Track, review, communicate, and distribute approved awards within VIU, ensuring that all award criteria parameters are accurate and up-to-date.
  • Manage the online award profile application to ensure that all award criteria parameters are accurate, updated, and assigned in the background for selection purposes.
  • Receive and apply funds to student records for the Financial Aid and Awards department and other areas across the campus.
  • Collaborate with the Advancement & Alumni Office to ensure the timely and accurate disbursement of awards.
Requirements
  • Two-year postsecondary diploma related to business or accounting, or equivalent, from an appropriately accredited institution.
  • Five years of recent related experience, including experience in a postsecondary environment.
  • Experience in overseeing and reconciling emergency and access funds.
  • Senior level MS Office skills, including excel formulas and data-sorting, and ability to perform high volume document merges.
  • Excellent written and verbal communication skills, with the ability to deal with a wide variety of people with tact, diplomacy, and patience.
Preferred Qualifications
  • Knowledge of VIU policies, procedures, systems, and processes.
  • Previous experience working in a financial aid environment posting a high volume of awards.
