Position Overview
The Campus Operations Coordinator plays a vital role in ensuring the efficient operation of the campus by delivering administrative assistance to visitors, students, instructors, and other staff members. This position is responsible for managing Front Desk Administration, welcoming individuals entering the campus, directing them to the appropriate contacts or services, and providing general information both in person and via phone.
Qualifications and Experience
- Completion of secondary education is mandatory.
- A minimum of 2-3 years of experience in a significant administrative support role, preferably within an educational environment.
- Experience in a Private Career College setting is advantageous.
- Demonstrated ability to manage multiple tasks effectively is essential.
Key Skills
- Exceptional customer service and administrative capabilities.
- Proficient computer skills.
- Experience working both independently and collaboratively within an administrative team.
- Adaptability to changing circumstances.
- Willingness to work flexible schedules as determined by the Campus Manager.
- Proficient knowledge and hands-on experience with Microsoft Office Suite are required.
Responsibilities
Customer Service
- Ensure all incoming calls are answered and routed efficiently.
- Address student inquiries related to schedules, fee payments, etc., in collaboration with the Campus Manager.
- Assist students with scheduling and coordinate with the Scheduling department to ensure timely completion of their courses/programs.
Administrative Duties
- Establish and maintain both manual and computerized filing systems for student records.
- Effectively manage student records and documentation.
- Oversee candidate administration for Testing Centers.
- Support the smooth operation of the institute during evenings and weekends in the absence of the Campus Manager.
- Order office supplies and manage inventory levels.
- Develop and implement office procedures.
- Open and close the campus as required.
- Compile data, statistics, and other information to assist the Campus Manager.
- Perform any additional tasks assigned by the Campus Manager.
Compliance and Regulatory Adherence
- Comply with all CIMT College Policies and Procedures.
- Adhere to all regulatory standards set forth by the Ministry of Training for Colleges and Universities, as well as the PCC Act, 2005.
