The Court Services Division of the Nova Scotia Department of Justice is committed to providing outstanding service and ensuring a fair and accessible judicial process, which includes court administration and security.

This Division offers administrative support to various courts, including the Nova Scotia Court of Appeal, Supreme Court of Nova Scotia (including Family Division), Provincial Court, Family Court, Small Claims Court, Probate Court, and Bankruptcy Court. These courts operate independently from the government to address individual cases fairly.

About Our Opportunity

As a Court Officer (Administration), your responsibilities will include scheduling court hearings across all court levels, managing a caseload of files, and serving as the liaison between the Court, law enforcement agencies, legal professionals, and the public. You will also review documents and implement corrective actions when necessary. The role may involve performing quasi-judicial duties as assigned under the Justice of the Peace Act, and you will execute your responsibilities in accordance with the Court Officials Act.

Primary Responsibilities

Your duties in Court Administration will encompass:

  • Coordinating court cases and addressing inquiries from the public.
  • Managing documentation, exhibit control, statistical data collection, and general accounting tasks.
  • Reviewing documents, applying relevant laws, statutes, policies, and determining necessary corrective actions.
  • Assisting self-represented parties with document reviews and providing legal information and referrals as needed.
  • Overseeing a caseload of files to ensure effective client service.
  • Training and mentoring new staff in daily operational tasks.
  • Communicating with the Judiciary and legal professionals on behalf of the court.
Qualifications and Experience

The ideal candidate for the Court Officer (Administration) position will possess:

  • A minimum of two years of post-secondary education in a relevant field, coupled with five years of experience in a legal setting; or an equivalent combination of education and experience with exposure to the justice system.
  • Proficiency in keyboarding, data entry, and standard computer applications, including MS Office.
  • Excellent proofreading, spelling, and grammar skills.
  • Strong organizational and prioritization abilities, with attention to detail and the capacity to meet tight deadlines.
  • General accounting, scheduling, and assessment skills.
  • The ability to work independently and collaboratively within a team.
  • A fair and impartial approach to all clients, maintaining confidentiality while utilizing exceptional interpersonal and communication skills, especially in challenging situations.
  • A solid understanding of the Rules and Statutes governing the courts, along with familiarity with legal documents, court procedures, and terminology.
  • Initiative and problem-solving skills, with a readiness to accept responsibilities.
  • Experience in Family Law is considered an asset.

Assessment of qualifications may include written examinations, typing tests, standardized assessments, oral presentations, interviews, and reference checks. Additional training or experience in mediation, non-conflict resolution, and bilingualism (English and French) would be advantageous.

Equivalency

Acceptable qualifications may include:

  • A 2-year certificate/diploma in a related field plus 5 years of relevant experience.
  • A 1-year certificate/diploma in a related field plus 6 years of relevant experience.
  • A 4-year Bachelor's degree in a related field plus 3 years of relevant experience.
  • A 3-year Bachelor's degree in a related field plus 4 years of relevant experience.
  • Seven years of relevant experience with exposure to the justice system.

Working Conditions
  • A standard work week consists of 35 hours, typically from 8:30 AM to 4:30 PM, subject to operational needs.

Additional Information

This is a TERM employment opportunity with an anticipated end date. The appointment status ('term', 'temporary', or 'casual') will depend on the successful candidate's start date.

Candidates may need to complete training in Firearms Safety related to evidence handling and may be required to pass the Nova Scotia Certified Transcribers qualification. This position will necessitate an enhanced level of security screening.

Pay Grade: TE 22

Salary Range: $2,574.66 Bi-Weekly
