Airline Support Specialist

The Airline Support Specialist serves as a vital link between our airline partners and our operational team. This role involves managing hotel and ground transportation bookings, fostering positive relationships with airline partners, and ensuring a high level of professional, courteous, and friendly service to our esteemed clients.

Key Responsibilities: Reasonable accommodations may be provided to enable individuals with disabilities to perform essential functions.
  • Act as the on-site representative for our airline partner, offering support, guidance, and training.
  • Handle client requests received from the airline through our operations system, ensuring all customer needs are assessed and addressed promptly and accurately.
  • Follow up on all client inquiries and transactions, ensuring full execution of tasks and prioritizing client satisfaction.
  • Notify supervisors of critical issues requiring management intervention to resolve or prevent potential challenges.
  • Negotiate with vendors (Hotels, Ground Transportation, etc.) to secure optimal outcomes for clients and the company.
  • Resolve client disputes professionally, researching and presenting solutions based on factual information.
  • Utilize all available tools and methodologies, including phone, email, fax, and reservation systems, to address client needs and expectations.
  • Adapt to irregular operations (IROPS) to meet the demands arising from changes in airline schedules and unforeseen circumstances, including extended hours and on-call duties.
  • Maintain knowledge of our call center operations and reservation systems to effectively serve clients.
  • Achieve a passing score on initial training and maintain proficiency through annual recurrent training sessions.
Required Skills and Qualifications:
  • Familiarity with airline crew scheduling is highly advantageous.
  • Experience with GDS systems, hotel reservation systems, and airline reservation systems is preferred but not mandatory.
  • Strong interpersonal skills.
  • Able to thrive in a fast-paced environment.
  • Excellent telephone communication skills.
  • Strong writing abilities.
  • Proficient computer skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Detail-oriented with exceptional organizational skills.
  • Flexible availability, including weekends and holidays.
  • Willingness to work overtime as necessary.
  • Proficiency in a second language is a plus.
Position Type and Work Hours:
This is a full-time role with flexible scheduling, including potential weekend work.

Experience Requirements:
  • Ability to represent the company positively in customer-facing situations.
  • Background in customer service is beneficial.
  • Experience in the airline, hotel, or travel sectors is advantageous.

Work Environment:

This position is based in a professional office setting, utilizing standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Requirements:

The physical demands outlined here represent those that must be met by an employee to successfully perform the essential functions of this role. While executing job duties, the employee is regularly required to communicate verbally and audibly. The employee frequently stands, walks, uses hands for various tasks, and reaches with hands and arms.
