The Undergraduate Program Administrator position is pivotal in supporting the undergraduate program, serving as the primary contact for inquiries related to undergraduate policies, procedures, and regulations of the University, Faculty, and academic unit. This role also provides essential administrative assistance to the Undergraduate Program Director and/or Program Coordinators.

This position ensures continuity, historical insight, and transitional support to UPDs and/or Program Coordinators throughout their appointments.

Contributing positively and professionally to the team, department, and Faculty is crucial, including fostering a welcoming and supportive environment for students, emphasizing student-centered service delivery. The Undergraduate Program Administrator will align with the vision, mission, values, and strategic direction of the Faculty of Liberal Arts & Professional Studies and York University, while promoting a positive, supportive, and client-focused team culture characterized by high performance, respect, trust, collaboration, and continuous improvement, embracing diversity and encouraging inclusion.

Qualifications:

A College Certificate in Office Administration or equivalent (one year of relevant University coursework).

Experience:

Skills:

Familiarity with academic administration processes (course scheduling, curriculum support).
Experience with degree progress reports is advantageous.
Ability to interact courteously and effectively with individuals.

Strong oral communication skills to convey and gather accurate information clearly and concisely, including active listening and proficient written communication skills, such as minute-taking.

Ability to demonstrate good judgment, tact, diplomacy, and initiative.
Attention to detail is essential.
Capability to work independently as well as collaboratively within a team.
Efficient organizational skills are necessary to manage competing priorities simultaneously.

The ability to operate effectively in a complex, fast-paced environment, including multitasking, prioritizing, and meeting deadlines.

Proven ability to quickly learn and apply new software applications and procedures.
Competence in sourcing, evaluating, analyzing, and summarizing information for reporting and planning purposes.
Experience in developing and preparing promotional materials and written content is preferred.
Typing speed of 40-45 words per minute, with accuracy being crucial.
Proficiency in MS Word (advanced level), MS Excel (intermediate level).
Familiarity with email software (Microsoft).
Proficiency with online student records systems (SIS) or similar online databases.
Other:
A demonstrated record of good attendance and punctuality.
