Job Summary

The HR Specialist will report to the Chief Executive Officer and work closely with the Chief Commercial Officer and Senior HR Consultant to provide guidance and support in all operational aspects of human resources initiatives and objectives. This role will serve the needs of employees and management, executing and facilitating programs and policies to guide HR practices across all locations.

Key Responsibilities

  • Recruitment and selection procedures, including job skill assessment, job evaluation, job descriptions, job postings, selection frameworks, applicant processing, and interview participation.
  • Partner with hiring managers to facilitate timely hiring and quality hires, ensuring compliance with applicable policy and legislation.
  • Deliver ongoing HR policies and procedures, including employee onboarding, benefits administration, and performance management.
  • Counsel and provide guidance to management and staff on HR policies, procedures, standards, and legislation, as well as workplace health and safety and organizational requirements.
  • Drive and execute HR initiatives as directed, maintaining a positive work environment and supporting the open-door policy.
  • Deliver orientations and provide support to new employees, contractors, and volunteers.
  • Lead the annual performance review process, including package preparation, timelines, staff communication, manager, and staff training.
  • Prepare letters for new hires, compensation changes, promotions, disciplinary matters, terminations, and employment verification letters.
  • Assist in developing, implementing, and continuously improving HR initiatives, policies, and procedures.
  • Build trust and credibility with employees to create a safe, supportive, and open environment.
  • Conduct exit interviews, identify key issues and trends, and make recommendations as appropriate.
  • Support reporting of key HR metrics to management and the Board of Directors.
  • Maintain and ensure confidentiality of employee personnel files and records.
  • Coordinate staff training initiatives and maintain records of staff training and development.
  • Respond to staff inquiries regarding HR policies and procedures.
  • Administer the HRIS (PayWorks), Benefits system, Pension system for all additions, deletions, and changes.
  • Perform other duties as assigned, which may or may not be transitional in nature.

Requirements

  • Working knowledge of multiple HR disciplines and labour law/legislation.
  • Knowledge of HR policies and procedures and trends in the industry.
  • Knowledge of provincial employment standards and legislation across the country.
  • 3-5 years demonstrated experience in the development and implementation of employee recruitment and retention strategies.
  • Ability to exercise judgment/seek advice in decision making when faced with uncertainties; ability to anticipate what will be needed, identify issues, and options for solutions.
  • Ability to build and maintain relationships.
  • Strong communication skills, both oral and written.
  • Approaches work with initiative, energy, and tenacity.
  • Tactful, mature individual with demonstrated ability to use discretion, good judgment, tact, and confidentiality in dealing with sensitive/confidential issues with a high degree of professionalism and integrity.
  • Flexibility to adapt to an ever-changing work environment and capable of working in a team-oriented, virtual environment, with capacity to complete tasks in a self-directed manner.
  • Experienced in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • General knowledge about sustainability and the built environment is a definite asset.

Education and Experience Requirements

  • Minimum Bachelor's degree and 3+ years related professional experience or, an equivalent combination of education and experience.
  • CHRP is required.
  • Experience in a not-for-profit organization preferred.
  • Bilingual is considered an asset, but not required.
