Job Summary

The Talent Acquisition Coordinator will play a critical role in supporting the recruitment process for faculty and instructor positions at University Canada West. Working closely with the Talent Acquisition team and the academics department, the coordinator will support the coordination of attracting and onboarding top-tier faculty members who align with the University's values and educational mission.

Key Responsibilities

  • Collaborate with the university's academic departments to understand faculty staffing needs and position requirements.
  • Review and finalize faculty job descriptions following Program Chair's approval, ensuring consistency before posting.
  • Coordinate job postings on various job platforms, utilizing diverse recruitment channels to source potential faculty candidates.
  • Coordinate and attend faculty interviews, providing the panel support for interviewing needs and collect feedback.
  • Manage and maintain recruitment documentation, ensuring accuracy and strict compliance with the university policies and regulations.
  • Prepare employment contracts and related documentation for successful candidates and continuing faculty members.
  • Collaborate with the onboarding team to facilitate a smooth transition for new faculty members.
  • Cultivate positive relationships with current and potential faculty members.
  • Serve as a point of contact for inquiries related to faculty recruitment processes, ensuring a positive recruitment experience.
  • Maintain faculty recruitment related data spreadsheets and continuously update with the most recent information.
  • Manage faculty referrals and internal candidates, working closely with the academic department to ensure data information is accurate.
  • Continuously evaluate and optimize recruitment processes for efficiency and effectiveness.
  • Coordinate and participate in events, job fairs, and hiring fairs to attract and engage top-tier talent.
  • Conduct training sessions for hiring managers and stakeholders on interview best practices, talent acquisition process, and industry trends.
  • Maintain up-to-date information on processes and procedures, including internal guidelines.
  • Stay informed about industry best practices and trends in recruitment and onboarding.

Requirements

The ideal candidate will possess:

  • Proven experience in recruitment coordination, with a focus on academic or faculty recruitment preferred.
  • Strong organizational skills and attention to detail in managing complex recruitment processes and recruitment documentation, ensuring accuracy, and maintaining compliance.
  • Excellent interpersonal and communication skills to effectively collaborate with stakeholders and candidates.
  • Familiarity with academic environments and an understanding of faculty recruitment challenges and best practices.
  • Strong understanding of full-cycle recruitment.
  • Ability to navigate all communications and discussions with high confidentiality.
  • Adaptability to changing business needs.
  • Excellent proficiency in written and spoken English.

Education and Experience

  • Minimum a bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.
  • Minimum of 1-3 years' experience in recruitment coordination, human resources, or a related field.
  • Previous coordinator experience in a human resources or academic setting is an asset.
