Lease Administrator

Waypoint is seeking a highly organized and detail-oriented Lease Administrator to support our expanding Lease Department in Burnaby. This role will assist the Manager, Insurance Operations and Lease Supervisor in managing lease accounts and performing various administrative tasks.

Key Responsibilities:
  • Prepare and process essential paperwork for leased vehicles, including Insurance Renewal Letters, Letters of Authorization, and related documents.
  • Manage cheque refunds and endorsements, ensuring accuracy and timely processing.
  • Organize and handle inbound and outbound mail efficiently.
  • Perform filing, scanning, and data entry tasks to maintain accurate records.
  • Assist with answering phone calls and emails, directing inquiries to appropriate departments as needed.
  • Handle the monthly Notice to Renewal (NTRs) forms, entering data into the lease account database, and assigning follow-ups to Insurance Agents.
  • Compare current NTRs with previous years to identify and resolve discrepancies.
  • Manage the lease master list with updated NTRs and expiry dates, and coordinate with IT for updates.
  • Process parking tickets, manage and send parking notices, and handle impounded or towed vehicle documentation.
  • Review and update monthly stats for lease agents, maintaining accurate records and client communications.
  • Administer Letters of Authorization and ensure timely return of NTRs with required documentation.
  • Cover general administrative duties including reception coverage, postage processing, and other assigned tasks.
Requirements:
  • High attention to detail and accuracy in all tasks.
  • Strong verbal and written communication skills.
  • Ability to multitask effectively in a fast-paced environment with tight deadlines.
  • Quick learner with the ability to adapt to new software and processes.
  • Proficiency in intermediate Microsoft Excel and strong typing accuracy.
  • Experience with repetitive tasks and high-volume data management.
  • Ability to work well within a team and contribute to a collaborative work environment.
