Position Overview
The HVAC Sales Representative will oversee various projects, engaging in both Inside and Outside Sales responsibilities. This role demands proficiency in quoting, proposal preparation, order processing, and troubleshooting. Strong communication skills, self-motivation, and a commitment to continuous learning are essential. The candidate must be adaptable to shifting priorities and respond promptly to inquiries.
Key Responsibilities
- Negotiate contracts and maintain awareness of market trends.
- Provide insights to the Estimating team regarding bids and pricing, including workload forecasting for managed projects.
- Assist engineers with product selection and project layout.
- Review purchase orders and bid documents to maximize profitability.
- Prepare necessary files for the support team to issue submittals.
- Create submittals in the absence of the Project Manager or support team.
- Support the Technical Submittals process for the support team.
- Process customer orders in the absence of the support team after receiving approved submittals.
- Manage Change Orders and Site Instructions, including pricing adjustments.
- Resolve discrepancies with customers or site contacts regarding orders.
- Track orders and deliveries, providing estimated arrival times to customers.
- Notify customers upon order arrival and coordinate delivery if necessary.
- Complete project closeout, ensuring full invoicing and submission of maintenance documentation.
- Provide quotes for jobs not listed on bid boards, including email requests.
- Enter quotes accurately, associating them with the correct product codes as per the Branch's Handbook.
- Train staff on all aspects of the sales process to maintain expected service levels.
- Deliver exceptional customer service with a focus on a Customer First approach.
- Continuously enhance service quality to meet client expectations while minimizing costs and maximizing competitive advantage.
- Ensure adequate service levels and conduct reviews to determine necessary corrective actions.
- Engage in self-education and attend manufacturer training sessions to stay updated on product developments and software tools, with some travel involved when feasible.
- Build and maintain sustainable customer relationships through open communication.
- Represent the company at site meetings as needed.
- Assist in organizing customer events such as open houses and lunches.
- Perform additional duties as assigned by management.
- Minimum of 5 years of experience in a similar role.
- Proven leadership capabilities.
- Excellent verbal and written communication skills.
- Self-motivated, creative, and resourceful.
- Positive, energetic, and enthusiastic attitude.
- Professional demeanor in business settings.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
