Position: Academic Support Officer

Salary Range: $48,622.77 to $65,783.74

Location: Pembina Campus

Work Schedule: Monday to Friday, 8:30 am to 4:30 pm (35 hours/week)

As an Academic Support Officer (ASO), you will report directly to the Dean of Health, Hospitality, Human Services, and Post Graduate Studies. This role encompasses a variety of administrative, regulatory, and academic responsibilities aimed at supporting the Dean and ensuring the smooth operation of program delivery within the School of Health, Hospitality, Human Services, and Post Graduate Studies (HHHPGS). The ASO is expected to maintain confidentiality and uphold a high standard of professionalism while applying a thorough understanding of the Institute's policies and procedures.

Key Responsibilities:

  • Monitor compliance with memorandums of understanding, articulation agreements, accreditation agreements, and vendor contracts.
  • Assist in the development of proposals for projects, grants, and applied research initiatives.
  • Collaborate with Executive Assistants to enhance inter-departmental communication and activities.
  • Ensure timely completion and submission of reports.
  • Coordinate research and analysis efforts with the assigned business and research analyst.
  • Work with communication and event staff to manage academic initiatives effectively.
  • Support multiple academic calendars, prioritize appointments, and resolve scheduling conflicts to optimize academic operations.
  • Provide assistance to academic committees chaired by the Dean, including arranging meeting logistics and preparing materials.
  • Prepare detailed itineraries and distribute materials for meetings involving the Deans.
  • Exhibit exceptional written and verbal communication skills when interacting with internal and external stakeholders.
  • Proofread and edit reports and documents for accuracy, ensuring corrections are made and submitted for approval.
  • Draft and prepare correspondence for the Dean's office, screening communications as necessary.
  • Collaborate with the Registrars Office to assist with program scheduling and compliance with the academic calendar.
  • Act as the academic liaison to facilitate cross-departmental coordination for events and marketing initiatives.
  • Maintain departmental records and databases through data entry and updates.
  • Handle sensitive information with discretion, ensuring compliance with privacy policies.

Qualifications:

  • A combination of relevant education and experience is acceptable.
  • A post-secondary degree in business administration or a related field is preferred.
  • Experience in administrative or clerical roles for a minimum of five years is required.
  • Proficiency in Microsoft Office Suite and familiarity with software such as Adobe and MindManager is essential.
  • Experience with online conferencing tools (e.g., Teams, Zoom) is advantageous.

Preferred Experience:

  • Direct academic support experience in a post-secondary environment is beneficial.
  • Administrative support experience for senior management is a plus.
  • Experience with large-scale academic projects, including program accreditations, is preferred.

Employment Conditions:

  • Must be legally entitled to work in Canada.
  • Successful completion of a Criminal Record check, including vulnerable sector and Child Abuse Registry Check, is required.
