Position Overview: The Receivables Management Specialist plays a crucial role in monitoring and evaluating customer account balances. This individual will be tasked with gathering and synthesizing data from diverse sources, maintaining accurate customer records, and analyzing financial data to oversee payments and deductions, thereby enhancing customer collection efforts. The Specialist will also be responsible for identifying and rectifying discrepancies in customer payment documentation.

Key Responsibilities:

  • Reconcile assigned accounts receivable portfolios.
  • Manage various vendor programs and ensure accurate reconciliation.
  • Validate markdowns, process audit claims, secure necessary approvals, and allocate funds appropriately.
  • Challenge and resolve noncompliance penalties.
  • Address pricing discrepancies, shortages, damages, and returns.
  • Maintain meticulous records of incoming payments, process credits, apply adjustments, and investigate irregularities.
  • Review and reconcile invoice discrepancies, ensuring accuracy and timely follow-up.
  • Assist in maintaining accounts receivable records to ensure aging is current, credits and collections are applied, and uncollectible amounts are accounted for.
  • Monitor customer accounts daily to identify aged receivables and initiate contact for payment collection.
  • Keep detailed records and generate reports on collection activities, including system updates and tracking.
  • Analyze and review aged accounts receivable monthly, collaborating with various departments to follow up on outstanding collections.
  • Provide general administrative and financial accounting support, including data entry and reconciliation tasks.
  • Collaborate with other departments as necessary to resolve disputes efficiently.
  • Manage high volumes of transactions and data with precision.

Qualifications:

  • Bachelor's degree or equivalent experience is required; a degree in Accounting, Finance, or Business is preferred.
  • A minimum of 2 years of experience in Accounts Receivable, ideally within the grocery sector.
  • Experience with Canadian retail chains is strongly preferred.
  • Familiarity with QuickBooks is considered an asset.
  • Professional verbal communication skills are essential.
  • Strong proficiency in English, both spoken and written.
  • Advanced skills in Microsoft Office applications (Word, Excel, Outlook) are required.
  • Demonstrated reliability and strong work ethic.
  • Ability to multitask with a keen attention to detail.
  • Excellent organizational, problem-solving, and computer skills.
  • Strong attention to detail and the ability to work with a high degree of accuracy.
  • Critical thinking skills to evaluate alternative solutions and approaches to problems.
  • Proficiency in time management is essential.
  • Ability to work effectively in a team environment.
