Position: Senior Analyst, Contracts Data and Technology CLM Administrator

Role Overview

As a member of the Global Legal Operations and Strategic Services (GLOSS) team, the Senior CLM Administrator will collaborate with various stakeholders within the Legal department on project initiatives and the ongoing support of legal tools, data, and systems. This role involves providing support throughout the project lifecycle, from design to delivery, as well as ongoing user assistance for legal technology. The GLOSS team spearheads technology initiatives that drive digital transformation within legal practices, enhancing existing systems, supporting integrations, and developing business requirements for new system implementations. The ideal candidate will adeptly manage multiple responsibilities across diverse projects of varying complexity while contributing to the development, maintenance, and enhancement of Legal Operations data, processes, and systems.

Beyond project and system support, the Senior CLM Administrator will oversee data and analytics functions within the Equinix Contract Lifecycle Management (CLM) systems, ensuring data integrity and reliability. The successful candidate will collaborate with legal experts, IT teams, and cross-functional partners to uphold data standards, secure necessary alignment, and adhere to established processes for accurate data updates. Furthermore, the Administrator will work closely with the Data & Analytics team to extract insights that drive process improvements and system enhancements, delivering valuable outcomes for internal stakeholders.

Key Responsibilities

  • Diagnose and resolve system issues using established protocols.
  • Coordinate with IT to address standard system failures and user settings.
  • Maintain, review, audit, and update data, records, and templates.
  • Recommend enhancements to policies, procedures, and processes regarding data management.
  • Ensure adherence to data and records management policies and procedures.
  • Establish appropriate user roles and security settings within current and future systems.
  • Prepare and configure contracts-related content for use within contract systems.
  • Manage legal technology projects, ensuring timely delivery within scope and budget.
  • Conduct thorough internal and external research to fulfill basic and complex requests.
  • Understand the business needs and objectives of the Legal department.
  • Define project scope and objectives, engaging all relevant stakeholders and ensuring technical feasibility.
  • Lead the implementation and ongoing development of Legal Technology systems.
  • Gather, document, and analyze business requirements, collaborating with IT and external service providers to propose innovative solutions.
  • Create and maintain documentation related to business process development and system modifications.
  • Support the formulation of project business cases, including ROI calculations and benefit realization plans.
  • Work closely with business partners to identify processes, gaps, goals, and opportunities for improvement.
  • Analyze and document existing and future state business processes, providing recommendations.
  • Coordinate user acceptance testing.
  • Facilitate cross-functional process management discussions.
  • Translate business challenges into system requirements.
  • Collect metrics and generate routine reports to measure process and tool adoption.
  • Collaborate with Data & Analytics teams to develop insightful usage reports and communicate data needs for customized reporting.
  • Generate reports for end-users, providing data analysis and actionable insights.
  • Lead the creation of tailored training materials.
  • Conduct training sessions on various functions, processes, or technologies as needed.
  • Draft and deliver information relevant to the audience and project requirements using appropriate language and tools.
  • Recommend strategies to enhance awareness and increase user adoption of tools.
  • Utilize diverse problem-solving skills to address issues with internal teams and stakeholders.

Qualifications

  • 5+ years of experience in similar roles within a Legal or IT environment is preferred.
  • A Bachelor's degree is required.
  • Experience with Legal technology (CLM) and processes is preferred.
  • Project Management qualifications are preferred.
  • Ability to identify and manage dependencies across teams and projects.
  • Proactive in anticipating and addressing issues with a strong customer focus.
  • Strong analytical skills, including proficiency in business case development.
  • Ability to prioritize and balance multiple projects for various internal stakeholders.
  • Excellent interpersonal and communication skills are essential.
  • Ability to make independent decisions, knowing when to escalate issues.
  • Experience collaborating directly with business teams and stakeholders.
  • Familiarity with the Legal domain is preferred, particularly in Contracts Management, Compliance, Privacy, and Entity Management.
  • Knowledge of Project Management tools such as SharePoint, Smartsheet, Tableau, Box, and Jira.
  • Advanced proficiency in Microsoft Office is required.
