Position: Senior Analyst, Contracts Data and Technology CLM AdministratorRole Overview
As a key member of the Global Legal Operations and Strategic Services (GLOSS) team, the Senior CLM Administrator will collaborate with various stakeholders within the Legal department on project management and the ongoing maintenance and support of legal tools, data, and systems. This role involves supporting projects from conception through execution and providing ongoing user assistance for legal technology solutions. The GLOSS team spearheads technology initiatives that drive digital transformation across legal functions, enhancing existing systems, facilitating system integrations, and establishing business requirements and standardized processes for new system implementations. The ideal candidate will adeptly manage responsibilities across diverse projects of varying complexities while contributing to the development, maintenance, and enhancement of Legal Operations data, processes, and systems.
In addition to project and system support, the Senior CLM Administrator will oversee data and analytics tasks within the Equinix Contract Lifecycle Management (CLM) systems, ensuring data integrity and reliability. The successful candidate will collaborate with legal experts, IT partners, and cross-functional teams to uphold data standards, achieve necessary alignment, and adhere to documented procedures for accurate data updates. Furthermore, the Administrator will work closely with the Data & Analytics team to derive insights that drive process improvements and system enhancements, ultimately delivering significant value to internal stakeholders.
Key Responsibilities
- Diagnose and resolve system issues and malfunctions using established practices and protocols.
- Coordinate with IT to address standard system failures and user configuration problems.
- Maintain, review, audit, and modify data, records, and templates as necessary.
- Recommend enhancements, policies, procedures, and processes related to data and records management.
- Ensure adherence to data and records management policies and procedures.
- Establish appropriate user roles and security settings within current and future systems.
- Prepare and configure contracts-related content for use within contract management systems.
- Manage legal technology projects, ensuring timely delivery within scope and budget.
- Conduct thorough internal and external research to fulfill basic and complex requests.
- Understand the business needs and objectives of the Legal department.
- Define project scope and objectives, engaging all relevant stakeholders and ensuring technical feasibility.
- Lead the implementation, deployment, and ongoing development of legal technology systems.
- Gather, document, and analyze business requirements, collaborating with IT and cross-functional stakeholders to propose innovative solutions.
- Create and maintain documentation pertaining to the development and modification of business processes and related systems.
- Support the creation of project business cases, including ROI assessments and benefit realization plans.
- Work closely with business partners to identify processes, gaps, goals, and opportunities for improvement.
- Analyze and document existing and future state business processes, providing recommendations.
- Facilitate user acceptance testing.
- Lead discussions on cross-functional process management.
- Translate business challenges into functional system requirements.
- Collect metrics and generate routine reports to measure process and tool adoption.
- Collaborate with Data & Analytics teams to develop meaningful usage reports and identify data needs for customized reporting.
- Develop and present reports to end-users, incorporating data analysis and actionable suggestions.
- Lead the creation of tailored training materials.
- Provide training on various functions, processes, or technologies as needed.
- Draft and deliver information relevant to the audience and project requirements using appropriate language and tools.
- Advise on strategies to enhance awareness and increase user adoption of tools.
- Utilize diverse problem-solving skills to address issues with internal teams and stakeholders.
Qualifications
- 5+ years of experience in similar roles within a Legal or IT environment is preferred.
- A Bachelor's degree is required.
- Experience with legal technology (CLM) and related processes is preferred.
- Project Management qualifications are advantageous.
- Ability to identify and manage dependencies across teams and projects.
- Proactive in anticipating and addressing issues with a strong customer focus.
- Strong analytical skills, including proficiency in business case development.
- Ability to prioritize and manage multiple projects for various internal stakeholders.
- Excellent interpersonal and communication skills are essential.
- Ability to make independent decisions and escalate issues appropriately.
- Experience collaborating directly with business teams and stakeholders.
- Familiarity with the legal domain is preferred, particularly in Contracts Management, Compliance, Privacy, and Entity Management.
- Knowledge of Project Management tools such as SharePoint, Smartsheet, Tableau, Box, and Jira is beneficial.
- Advanced proficiency in Microsoft Office is required.
