Position: Executive Coordinator

Location: Hybrid work model

Role Overview: The Executive Coordinator will deliver exceptional administrative and executive assistance to the technical and operational teams within the IFRS Foundation.

Key Responsibilities:

  • Comprehensive calendar management: Oversee scheduling across various time zones, including organizing meeting spaces and coordinating dial-in information.
  • Travel management: Handle intricate travel arrangements for both national and international trips, which includes:
    • Arranging transportation and accommodations in accordance with the Foundation's travel guidelines.
    • Securing necessary visas and travel documentation.
    • Creating detailed itineraries.
  • Expense management: Process reimbursements and reconcile credit card statements.
  • Meeting coordination: Schedule and organize meetings and events with multiple participants, both internal and external, ensuring effective communication and availability.
  • Office support: Assist in maintaining office operations and provide coverage as necessary.
  • Mentorship: Offer guidance and support to junior team members.
  • Administrative tasks: Perform general administrative duties as required, such as managing correspondence and organizing events.
  • Project involvement: Participate in ad hoc projects as assigned.

Qualifications:

  • Bilingual proficiency: Must be fluent in both French and English, with strong written and verbal communication skills.
  • Experience: Proven track record of supporting senior executives in a global context, managing complex travel and meeting logistics.
  • Organizational skills: Exceptional attention to detail and strong administrative capabilities.
  • Collaborative mindset: Ability to work effectively with diverse teams and engage with stakeholders at all levels.
  • Cultural awareness: Experience in a global environment, demonstrating respect for different cultures.
  • Problem-solving abilities: High level of autonomy and resourcefulness.
  • Professional integrity: Capable of handling sensitive information with discretion.
  • Technical proficiency: Competence in MS Office Suite (Outlook, Word, Excel, PowerPoint).
