This full-time, permanent position plays a crucial role in supporting United Way's extensive network of over 2,700 volunteers by managing tasks and processes that deliver essential resources, tools, and best practices to effectively engage and utilize the skills and time of our stakeholders. This role is primarily focused on enhancing the volunteer experience and providing valuable support throughout the entire volunteer lifecycle, as we aim to offer meaningful engagement opportunities to our stakeholders. This position reports to the Program Manager, Volunteer Engagement.

Key Responsibilities:

  • Collaborates with internal teams on volunteer management tasks to ensure consistent and elevated experiences for our stakeholders.
  • Facilitates the volunteer engagement lifecycle for both existing and new volunteer opportunities with our time and talent volunteers.
  • Assists in the creation of new episodic and ongoing volunteer opportunities, including supporting recruitment strategies and initiatives.
  • Works with staff partners to review various volunteer roles annually to capture and understand the processes and practices utilized by different teams across the organization.
  • Provides administrative support to Affinity Groups and the Volunteer Engagement (AGAVE) team, including event support, volunteer recruitment and processing, attendance tracking, and communication preparations.
  • Coordinates and implements elements of the volunteer recognition strategy and organization-wide volunteer appreciation initiatives.
  • Utilizes CRM and Volunteer Management System (VMS) to manage volunteer opportunities across the organization, including creating jobs, shifts, forms, and schedules for volunteer sign-ups and tracking engagement through volunteer hours.
  • Ensures accurate volunteer records in database systems, assists staff in VMS usage, and maintains up-to-date volunteer information and opportunities.
  • Maintains comprehensive volunteer administration files, including role profiles, terms of reference, policies, schedules, marketing materials, guides, handbooks, operational procedures, volunteer agreements, and tracking systems.
  • Manages all stakeholder communications through the volunteer engagement inbox, addressing inquiries, recruitment responses, and administrative questions from prospective volunteers.
  • Supports Cabinet engagement through ongoing administrative functions, including managing meeting calendars, organizing in-person and virtual meetings, maintaining the Cabinet Portal, preparing communications, and coordinating with staff partners.
  • Facilitates organization-wide volunteer data management and collection practices by collaborating with staff across various volunteer segments to effectively gather data related to volunteers, including contact information, roles, participation, volunteer hours, and survey data.

About You:

You are an individual who excels in administrative and support roles, eager to apply your exceptional customer service and administrative skills in this position. Your strong writing and presentation abilities are essential, as communication is a key aspect of this role. You have experience in managing administrative tasks, including calendar management, preparing communications, handling multiple inboxes, drafting agendas, and taking meeting minutes.

Your proactive attitude, results-oriented mindset, and empathetic approach enable you to collaborate effectively. You are motivated to think creatively, stay organized, and build strong relationships. You enjoy applying your administrative expertise to meaningful work and thrive in a digital environment. You are proficient with technology, particularly MS Office (Office 365 – MS Teams, SharePoint), have basic experience with CRM systems, and are enthusiastic about learning and utilizing new technologies.

You possess a post-secondary degree or diploma in Business, Social Sciences, or a related field, along with a minimum of two to three years of relevant experience providing exceptional customer service and administrative support. A combination of education and experience will be considered.

A valid driver's license and vehicle are necessary for travel within the designated area, and you are flexible to work some evenings and weekends as required by events and meetings.
