Job Summary

The Vessel Operations Coordinator is responsible for allocating and dispatching local tug operations and charter boats to handle daily customer orders. This role ensures that all tugs are utilized in the most cost-effective manner based on fleet and crew capabilities, crew change schedules, timing, location, availability of tugs, and customer requirements.

Key Responsibilities

  • Locate and update scheduling and dispatching of tugs in the most cost-efficient manner to ensure timely barge deliveries and maintain high customer satisfaction with minimal tug hours.
  • Coordinate with other dispatchers on arrivals and departures of tows to redeploy internal resources before hiring external charter boats to service customers.
  • Coordinate with Marine Personnel regarding crew changes and crewing dispatch, reporting on various crewing problems and personnel issues.
  • Coordinate repair needs and dock days with the Engineering Department, monitoring repair status and availability of each tug to improve equipment utilization and company profitability.
  • Act as the first response for all tug and barge-related emergencies, advising second response including management, Port Captains, and Safety personnel.
  • Receive and handle front-line complaints from customers, facilities personnel, and the public on issues concerning tugs and shipboard personnel.
  • Answer public inquiries and provide information on various non-legal, non-sensitive matters.
  • Keep all relevant documentation up to date and monitor it consistently for errors and corrections.
  • Deal or assist with inward and outward Custom Clearances for all vessels entering our waters, assisting or arranging Custom Clearances with shipping Agents in our ports, Canada Revenue and Custom Agency, and Border Services.
  • Perform additional duties as needed.

Requirements

  • Post-secondary education in logistics, transportation, or other related fields.
  • Minimum 2 years of marine experience, preferably as a certified Deck Officer, or an equivalent combination of education and experience.
  • Ability to multi-task while staying mentally focused with changing customer requirements.
  • Ability to work well under pressure.
  • Ability to display tact and diplomacy when handling complaints or implementing damage control measures.
  • Ability to creatively tackle problems and make accurate decisions within tight timelines.
  • Time management skills and ability to prioritize tasks.
  • Understanding of marine fleet and crew capabilities and operations.
  • Computer proficiency in Microsoft Office, including Word, Excel, and HELM.
  • Communication skills, with strong interpersonal and conflict resolution skills.
  • Customer service orientation.
