POSITION OVERVIEW

The MAC Coordinator plays a pivotal role in overseeing the logistics of furniture installations, office relocations, and the decommissioning of sustainable furniture as part of facility modification projects tailored to meet client needs.

PRIMARY RESPONSIBILITIES

Service Delivery

  • Facilitates the coordination of furniture delivery, installation, relocation services, and sustainable decommissioning for various projects.
  • Collaborates with service providers, including relocation contractors and furniture installers, to ensure timely and budget-compliant service delivery.
  • Develops straightforward schedules for furniture installation, relocation, and sustainable decommissioning, while assisting the MAC Team with more complex scheduling tasks.
  • Prepares deficiency lists for furniture installations or relocations, devises remediation plans, and verifies completion.
  • Organizes site walkthroughs and participates in site visits as necessary.
  • Supervises or assists the MAC Team during furniture delivery and installation, as well as during relocation and decommissioning activities.
  • Undertakes additional responsibilities as assigned.

Administrative Duties

  • Completes and submits Health & Safety work permits.
  • Coordinates and schedules security contractors/Commissionaires as required for projects.
  • Aids in the preparation of procurement tender documentation.
  • Assists in validating security requirements for vendors prior to bid award issuance.
  • Collaborates closely with the Project Administrator to ensure accurate issuance of POs and tracking of invoices.
  • Completes all monthly billing documentation in conjunction with the MAC team, ensuring consistency and completeness aligned with approved project milestones.
  • Ensures proper filing of all project-related documents in designated project folders.
  • Prepares communication documents, such as move instructions, as needed for projects.
  • Participates in client meetings and documents meeting minutes.

Relationship Management

  • Cultivates strong internal relationships with team members, service lines, project groups, and operational teams to effectively plan, manage, and execute projects.
  • Maintains positive working relationships with clients, stakeholders, and internal teams to achieve client objectives – One BGIS.
  • Contributes to the upkeep of an effective recycling third-party and charity database, fostering good relationships with all parties involved.
  • Communicates proactively and effectively with stakeholders, including clients, contractors, and industry bodies, to ensure client satisfaction and BGIS's success.
  • Maintains strong relationships with all third-party contractors.

REQUIRED SKILLS & QUALIFICATIONS

  • Exceptional communication abilities.
  • Strong interpersonal skills with 1-3 years of relevant experience in moves, adds, changes, furniture installation, decommissioning, and facility planning or project administration/coordination.
  • Proficient in strategic thinking with some experience in managing customer relationships.
  • Knowledge of furniture systems is advantageous.
  • College Diploma or equivalent training.
  • Ability to work independently to deliver non-technical projects on time and within budget.
  • Proficient in schedule planning and experienced with MS Excel, Word, Publisher, PowerPoint, and Outlook.
  • Strong analytical, problem-solving, and conflict management skills.
  • Willingness to travel to client sites as needed (valid driver's license is a plus).
  • Bilingual in French and English is an asset.
  • Strong organizational and administrative skills.
  • Proven ability to communicate clearly for effective data exchange, clarification, and follow-up.
