POSITION OVERVIEW
The Furniture Installation Coordinator plays a crucial role in overseeing the logistics of furniture setups, office transitions, and environmentally responsible furniture disposal as part of facility modifications, additions, or changes tailored to meet client needs.
PRIMARY RESPONSIBILITIES
Service Coordination
- Facilitates the logistics of furniture delivery and installation, office relocation services, and sustainable disposal initiatives for various projects.
- Collaborates with service providers, including relocation specialists and furniture installers, to ensure timely and budget-compliant service delivery.
- Develops straightforward schedules for furniture installations, relocations, and sustainable disposal, while assisting the MAC Team with more intricate project timelines.
- Compiles deficiency reports for furniture installations or relocations, formulates remediation strategies, and verifies completion.
- Organizes site walkthroughs and participates in site visits as necessary.
- Supervises or aids the MAC Team during furniture deliveries and installations, as well as during relocation and disposal activities.
- Undertakes additional responsibilities as assigned.
Administrative Duties
- Prepares and submits Health & Safety work permits.
- Arranges and schedules security personnel as required for projects.
- Assists in the preparation of procurement tender documents.
- Aids in verifying security prerequisites for vendors before issuing bid awards.
- Collaborates closely with the Project Administrator to ensure proper issuance of purchase orders and accurate tracking of invoices.
- Completes all monthly billing documentation in partnership with the MAC team, ensuring consistency and completeness in line with approved project milestones.
- Ensures all project-related files are organized correctly within designated folders.
- Drafts all necessary communication documents, such as relocation instructions, as required by the project.
- Participates in client meetings and documents meeting minutes.
Relationship Management
- Cultivates strong internal relationships with team members, service lines, project groups, and operational teams to effectively plan, manage, and execute projects.
- Maintains positive working relationships with clients, stakeholders, and internal teams to uphold client objectives under the One BGIS philosophy.
- Contributes to the upkeep of an effective recycling and charity database, fostering positive relationships with all involved parties.
- Communicates proactively and effectively with stakeholders, including clients, contractors, and industry organizations, to ensure client satisfaction and BGIS's success.
- Develops and maintains strong relationships with all third-party contractors.
REQUIRED SKILLS & QUALIFICATIONS
- Exceptional communication abilities.
- Strong interpersonal skills, with 1-3 years of relevant experience in moves, additions, changes, furniture installation, decommissioning, and facility planning or project administration.
- Proficient in strategic thinking, with some experience in managing client relationships.
- Familiarity with furniture systems is advantageous.
- Completion of a College Diploma or equivalent training.
- Ability to work independently to deliver non-technical projects on time and within budget.
- Strong scheduling skills and proficiency in MS Excel, Word, Publisher, PowerPoint, and Outlook.
- Excellent analytical, problem-solving, and conflict resolution skills.
- Willingness to travel to client sites as needed; a valid driver's license is a plus.
- Bilingual in French and English is an asset.
- Strong organizational and administrative skills.
- Proven ability to communicate clearly for effective data exchange, clarification, and follow-up.
