Full-time Position

ROLE OVERVIEW:

Reporting to the Operations Manager, the Branch Operations Coordinator is tasked with overseeing procurement processes and managing administrative responsibilities at the branch level. This role is crucial for ensuring efficient operations and effective inventory management.

KEY RESPONSIBILITIES:

The Branch Operations Coordinator will be responsible for the following:

ADMINISTRATIVE FUNCTIONS

  • Ensuring the systematic handling of all branch documentation (e.g., packing slips, invoices).
  • Reviewing and rectifying the costing of all inventory purchase orders and transfers.
  • Monitoring and entering data related to warehouse damages and promotional items on a weekly and monthly basis.
  • Investigating inventory discrepancies thoroughly to meet the satisfaction of management.
  • Managing orders for all branch supplies, including stationery and postage.
  • Maintaining the accuracy of company forms for various departments.
  • Coordinating with IT to keep an accurate inventory of all electronic equipment.
  • Ensuring all office equipment is operational and coordinating maintenance as needed.
  • Sorting, dating, and distributing incoming and outgoing correspondence.
  • Filing customer invoices, packing slips, and other essential documents.
  • Reconciling petty cash and maintaining the cash register float.
  • Preparing bank deposits and ensuring timely submission.
  • Providing receptionist coverage during breaks and absences.
  • Participating in regular management meetings and documenting outcomes.
  • Generating reports related to inventory control and performance metrics.
  • Approving time sheets for warehouse personnel and monitoring employee hours.
  • Performing additional tasks as assigned by management.

PROCUREMENT RESPONSIBILITIES

  • Managing the procurement of all resale inventory not covered by central purchasing.
  • Addressing and resolving inventory discrepancies.
  • Issuing vendor purchase orders and ensuring timely fulfillment.
  • Coordinating freight for special items required by the sales team.
  • Assisting the sales team in forecasting and sourcing products for upcoming projects.
  • Managing vendor credit requests and analyzing inventory reports.
  • Ensuring compliance with company policies for special orders.
  • Collaborating with management on inventory management strategies.
  • Conducting regular reviews of stocking levels and adjusting reorder points as necessary.
  • Communicating with vendors regarding inventory needs and management.
  • Performing weekly physical inspections of inventory.
  • Striving to achieve optimal inventory turnover rates.
  • Processing branch transfer requests for inventory.

REQUIRED QUALIFICATIONS:

  • A minimum of two years of experience in warehouse administration, preferably in the building supply sector.
  • Proven experience in purchasing and procurement.
  • Proficient in Microsoft Excel, Word, and Outlook.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage high volumes of paperwork.
  • Ability to prioritize tasks effectively based on urgency and importance.
  • Attention to detail and accuracy is essential.
