Stock Transfer Operations Administrator

About the Role:
The Stock Transfer Administrator is a key member of the Operations Group at TMX Investor Solutions Inc., responsible for ensuring the smooth processing of transfer requests and supporting shareholder needs.
Key Responsibilities:
- Validate and process transfer requests in a timely and accurate manner
- Support shareholder requests and provide exceptional customer service
- Coordinate new share issuance and closing mechanics
- Operate two distinct record-keeping systems to support client shareholders
- Process and review securities and supporting documentation
- Coordinate printing securities from both systems
- Provide in-person support to brokers, clients, and shareholders
- Receive and distribute mail and counter items
- Maintain and log outgoing mail and courier tracking
- Respond to written and telephone inquiries regarding transfer requirements
- Maintain operations manual fees and administer
- Scan and file signed batch tickets
- Assemble physical debits processed via virtual remote processing
- Email DRS transactions and invoices to presenters
- Ensure compliance with policies, procedures, and regulatory requirements
Requirements:
- Excellent written, verbal, and listening skills
- Strong computer skills, including MS Office Suite and Google Suite
- High attention to accuracy and detail
- Ability to organize and prioritize tasks
- Strong organizational, interpersonal, and communication skills
- Working knowledge of the securities industry
- Ability to adapt to a changing environment
- Flexible schedule to work overtime as required
- 1-3 years of experience in an administrative role
- Canadian Securities Course or similar courses preferred
- Bilingual in English/French an asset
