Job Summary:

The Clinical Support Specialist - Operating Room provides administrative support to the Surgical Suites team at Sault Area Hospital. This role involves providing exceptional customer service, maintaining accurate records, and ensuring the smooth operation of the department.

Key Responsibilities:

  • Assist in the scheduling of patients for surgical procedures, including booking appointments in the Meditech system.
  • Receive and forward inquiries to the appropriate team member, providing general information and support.
  • Prepare and distribute documents, mail, and other materials as needed.
  • Maintain and update filing systems, inventory, and database records.
  • Sort and route incoming mail, both manually and electronically.
  • Send and receive messages using facsimile machines and web services.
  • Collect and distribute statistics and reports.
  • Verify patient charts electronically and facilitate the gathering of missing documentation.
  • Direct employees, physicians, patients, and visitors as needed.
  • Communicate with patients regarding schedule changes.
  • Assess and assist with staffing and scheduling on a daily basis, communicating concerns to the Manager as required.
  • Register patients according to hospital policy.
  • Perform other duties as assigned.

Requirements:

  • Diploma in Office Administration or equivalent education and/or experience in a healthcare environment.
  • Knowledge of medical terminology.
  • Proficiency in Microsoft Office, including experience with spreadsheets, Word, and Outlook.
  • Accuracy and proficiency in clerical tasks, including data entry, keyboarding, and filing systems.
  • Ability to work effectively in a fast-paced environment, handling multiple tasks and priorities.
  • Excellent customer service, interpersonal, and telephone skills.
  • Ability to maintain successful working relationships with the interdisciplinary team to achieve positive patient outcomes.
  • Ability to organize time effectively to perform the duties of the position.
  • Ability to read, write, and communicate to perform the duties of the position.
  • Knowledge of hospital software applications, including Meditech, ADT, ADM, and PHA, and Xerox.
  • Behavior consistent with Hospital Mission, ICCARE Values, and Standards of Performance.
