Job Summary

The Administrative Assistant - Operations will provide administrative and clerical support to the plant operation team. This role will be responsible for maintaining accurate and up-to-date records, ensuring data integrity, and providing excellent customer service.

Key Responsibilities
  • Enter data from various sources to maintain and update databases and spreadsheets;
  • Verify input and calculations to ensure data accuracy;
  • Maintain organized computer and/or hard copy files for easy identification and retrieval;
  • Maintain inventory of office supplies, first aid supplies, and chemicals;
  • Prepare purchase orders and order goods independently and for supervisors, maintenance manager, and project manager;
  • Receive goods and process invoices;
  • Resolve payment problems for suppliers;
  • Answer the telephone and provide basic information;
  • Greet visitors and maintain Visitor Sign in Log;
  • Complete forms and assist with Human Resource functions;
  • Assist with Health & Safety programs and recordkeeping;
  • Prepare various paperwork, including but not limited to invoices;
  • Correspond with customers via email and provide basic information.
Requirements
  • Minimum of High School diploma preferred;
  • Computer proficiency with good working knowledge of Excel (formulas, pivot tables, etc.) and Word;
  • Experience and understanding of office functions;
  • Understanding of basic accounting/AP cycle;
  • Pay close attention to details and present good planning, organization, and time management skills;
  • Effective oral and written communication skills, good vocabulary, grammar, good soft skills, and the ability to independently compose routine written communications;
  • Work effectively with interruptions;
  • Handle confidential and sensitive information or issues;
  • Good telephone etiquette;
  • Experience in a Concur, Ariba environment would be an asset;
  • Supports plant operation by providing administrative and clerical support;
  • Good math and language skills;
  • Work in a team environment and willing to assume additional or new responsibilities readily.
Work Environment

This is a permanent and full-time position, with a working schedule from Monday to Friday, day shifts. The job holder spends most of their time in an office environment. The position may require prolonged periods of sitting; working on the telephone and/or computer, as well as interactions with other staff members and customers. The occasional handling of heavy boxes weighing up to 40 pounds may be required, and the job holder must lift and move office supplies if requested.
