POSITION OVERVIEW
As the Senior Administrative Coordinator, you will play a pivotal role in offering confidential administrative assistance to the Executive Team at GBGH. Your primary focus will be on supporting the Vice President of Clinical Services and Chief Nursing Executive, along with the Vice President of Performance and Chief Financial Officer. You will collaborate closely with fellow Executive Assistants and engage with various stakeholders, including Board Members, community partners, and healthcare professionals.

KEY RESPONSIBILITIES

  • Deliver high-level administrative support by managing sensitive information, addressing daily operational challenges, and ensuring confidentiality across all communications.
  • Efficiently manage the intricate schedules of the VPs, including organizing meetings, resolving scheduling conflicts, and preparing necessary documentation.
  • Prepare and compile materials for meetings, including agendas, reports, and minutes, while accurately documenting discussions and following up on action items.
  • Coordinate travel logistics, including conference arrangements and accommodations, in alignment with the VPs' schedules.
  • Maintain a comprehensive understanding of hospital policies and procedures to effectively prioritize and manage meetings and events.
  • Assist with various projects, ensuring timely completion and adherence to deadlines.
  • Work collaboratively with the Executive Assistant team to streamline administrative processes and provide support to senior leadership as needed.
  • Monitor and manage deliverables, ensuring deadlines are met and proactively addressing any potential delays.
QUALIFICATIONS
The ideal candidate will possess the following qualifications and skills:
  • Post-secondary diploma in Office Administration, Business Management, or a related discipline.
  • A minimum of five years of administrative experience, preferably within a healthcare setting.
  • Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint), Outlook, and other relevant software.
  • Proficient in drafting professional correspondence, managing complex schedules, and organizing events.
  • Strong interpersonal abilities, capable of engaging with a diverse range of individuals with professionalism and sensitivity.
  • Exceptional communication skills, both written and verbal, with a focus on clarity and professionalism.
  • Demonstrated organizational skills, with the ability to manage multiple tasks efficiently and with attention to detail.
  • Strong problem-solving skills and the ability to make informed decisions in a fast-paced environment.
  • Commitment to teamwork and alignment with GBGH's values and mission.
  • Fluency in French is considered an asset.
