Position Overview:

The Project Administrator plays a crucial role in ensuring the precise and timely processing of unionized craft employee timesheets and coordinating the recruitment of construction craft personnel. This role primarily operates from our office with occasional site visits as necessary.

Payroll Duties:

Develop a thorough understanding of the Community Benefits Agreement (CBA), including wage classifications and union benefits. Serve as an administrator for the electronic timecard software system. Provide training for new foremen, superintendents, and project engineers on the timecard system. Manage timecard approvals and corrections in collaboration with superintendents and foremen. Ensure accurate and timely submission of daily timecards. Validate daily payable time reports. Crosscheck hours and allowances against the CBA. Assist in validating biweekly payroll invoices. Provide accurate details for quarterly submissions. Maintain tracking spreadsheets for cost reconciliation. Advise the project team on payroll practices and shift schedule optimization. Resolve discrepancies related to payroll and invoicing. Participate in continuous improvement initiatives. Support all internal and external payroll audits.

BCIB Coordination Responsibilities:

Manage new employee requests, transfers, and terminations. Coordinate investigations related to progressive discipline. Collaborate with project and cost control teams to generate labor and productivity reports. Participate in coordination meetings with the operations team. Work closely with Labour Relations, Health & Safety, and Finance teams. Build collaborative relationships with all project stakeholders. Perform additional office-related duties as required.

Required Qualifications:

2-3 years of experience in payroll administration or equivalent. Experience with various unions and interpreting collective agreements. Knowledge of payroll principles and relevant legislation. Post-secondary education and professional payroll experience in construction preferred. Proficiency in payroll software is an asset. Strong computer skills in MS Office, including PowerPoint, Word, and Excel. Familiarity with electronic timecard software is advantageous. Excellent organizational skills to manage multiple deadlines. Detail-oriented and results-driven approach. Strong interpersonal and communication skills. Collaborative work style. Ability to handle sensitive information professionally. Flexibility to work on construction sites as needed. In-depth knowledge of payroll calculation and processing. Analytical skills with a proactive problem-solving approach.

The anticipated salary range for this position is $55,000 - $65,000.
