Job Title: Appointment Coordinator

Status: Full-Time
Department: Service
Description:
- Manage customer interactions regarding appointment scheduling and ensure all service appointments are booked on time.
- Review unconfirmed appointments and contact customers to confirm several days prior to the scheduled appointment date.
- Notify customers of outstanding recalls or campaigns and book required appointments.
- Reach out to customers due for maintenance to schedule appointments.
- Offer alternative dates and/or times and book new appointments when the customer is unavailable.
- Monitor and book incoming service appointments as necessary.
- Follow up with service customers after their visit to determine and document the quality of their experience.
- Document all customer feedback and comments and forward them to the Service Manager.
- Update customer information on file.
- Report any customer complaints to the Service Manager.
- Attend meetings and training as required.
- Adhere to company safety policies and immediately report any accidents to a Manager/Supervisor.
- This role will be expected to perform other duties as assigned by management.
- The company reserves the right to modify this job description as business needs require.
Requirements:
- 2 years of experience in customer relations.
- Strong organizational and interpersonal skills.
- Knowledge of automotive equipment and parts.
- Proficiency in computer skills and ability to maintain records using a computerized appointment system.
- Effective communication and problem-solving skills.
- Ability to work collaboratively with team members across departments.
