Project Coordination Specialist

Position Overview: The Project Coordination Specialist plays a crucial role in providing comprehensive administrative and construction support for various projects within our Project Management team at Symtech Innovations Ltd.

Key Responsibilities:

  • Collaborate closely with the Director of Project Management and Project Managers to deliver essential documentation and administrative assistance for ongoing projects.
  • Maintain effective communication with clients and subcontractors, ensuring a professional and sensitive approach.
  • Oversee all facets of project documentation, including submittals, Requests for Information (RFIs), and meeting minutes.
  • Assist in planning and coordinating project activities, addressing challenges, and ensuring adherence to company policies and standards.
  • Keep meticulous records of change orders, submittals, and document control logs.
  • Prepare necessary logs and documentation for construction meetings, ensuring timely and accurate contract submittals.
  • Draft and issue contracts for subcontractors, ensuring all documentation and drawings are correct for Owner and Maintenance Manuals.
  • Represent the company in meetings with clients and subcontractors, fostering positive relationships.
  • Support field personnel with technical assistance as needed.
  • Monitor the progress of other contractors and assume full project supervision in the absence of the Project Manager.
  • Compile project reports and documentation, collaborating with payroll for administrative tasks.

Qualifications:

  • A Bachelor's Degree in Construction Management or a related field is preferred; however, a combination of relevant training, education, and experience will be considered.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) is required; experience with Accubid and Oracle is advantageous.
  • Exceptional organizational and time management skills, with the ability to manage multiple tasks effectively.
  • Strong understanding of standard operating policies and procedures.
  • Willingness to work in a variable environment, both indoors and outdoors, adapting to different conditions.
