We are seeking a highly skilled Administrative Advisor to join our Communications and Governance team. As a key member of our Shared Services team, you will provide comprehensive administrative support to our Executive Directors and their teams, ensuring seamless coordination and efficient operations.

Key Responsibilities:
  • Oversee and maintain calendars for Executive Directors, ensuring efficient scheduling and organization of meetings and appointments
  • Coordinate ordering and assembly of promotional items, ensuring timely delivery and accurate packaging
  • Track and distribute Oilers tickets, including managing staff draws and sending tickets to the appropriate personnel
  • Provide administrative support for Communications and Governance events, assisting with logistics, coordination, and execution as needed
  • Manage creation and distribution of thank-you cards on behalf of the CEO Office, ensuring timely and appropriate acknowledgments
  • Serve as a backup for reception duties, including managing parking arrangements and assisting with general office reception tasks
  • Attend and support major corporate events, providing administrative assistance and ensuring smooth execution
  • Coordinate with the CEO Office to determine the scope and timing of speeches or panel requests
  • Schedule review meetings on the CEO's calendar to finalize speech content
  • Collaborate with the Communications team to prepare and send out presentation materials in the most effective format
Requirements:
  • Post-secondary diploma or certificate in Office Administration or equivalent experience
  • 3-5 years of relevant experience in a professional environment
  • Proficient in Microsoft Office 365, including Teams, Outlook, Excel, and OneNote
  • Strong organizational skills with a focus on detail orientation
  • Excellent interpersonal and communication skills, professional demeanor
  • Strong writing, editing, grammatical, organizational, and research skills
  • Strong time management, analytical, and problem-solving skills
  • Professional manner, good presence, and a sense of discretion, diplomacy, and tact when handling sensitive situations/information
  • Able to work well both independently and within a collaborative team environment
  • The ability to adapt well to change when new ideas are introduced
