Administrative Coordinator

The Administrative Assistant will provide administrative support to the branch, focusing on Company communications, report preparation, correspondence, and file maintenance. This role requires excellent customer service skills to interact with internal and external customers.
Key Responsibilities:- Maintain accurate and organized files for area personnel and branch management.
- Ensure timely and accurate submission of payroll time sheets for area personnel.
- Understand and adhere to Company safety policies, maintaining safety records as required.
- Prepare and distribute reports, such as the Roll Off Trend Report, Fuel Report, and Commodity Report, as directed.
- Process invoices and purchase orders for the area, assisting with general ledger entries as needed.
- Maintain contracts, bids, proposals, sales, and marketing information in a fireproof cabinet.
- Sort, review, and distribute incoming and outgoing mail, facsimiles, and electronic transmissions, typing memos as necessary.
- Coordinate and organize training workshops and meetings within the area.
- Comply with all applicable federal, state, provincial, and local laws, regulations, ordinances, and company policies.
- Demonstrate professionalism by maintaining integrity, ethics, and confidentiality.
- Assist with administrative and CSR tasks at branch locations within the area as needed.
- Perform other duties and responsibilities as required or requested by management.
- High School Diploma or GED required.
- 2-year degree in a business-related field and 3 years' experience in an administrative capacity or equivalent combination.
- Excellent skills in Microsoft Office, Excel, Outlook, and Word.
- Experience with Tower, JD Edwards, and AS400 preferred.
- Excellent interpersonal skills and professionalism.
- Ability to effectively communicate verbally and in writing.
- Demonstrate attention to detail and maintain accuracy.
- Ability to type 50 WPM.
- Maintain Notary Public appointment.
- Work in an indoor office environment 95% of the time.
- Work in front of a computer terminal for most of the day.
- Noise level is usually moderate.
