DIVERSEcity Community Resources Society is seeking a highly organized and detail-oriented individual to join our team as a Program Assistant for the Safe Haven Team in Surrey, BC.
Key Responsibilities:- Administrative Support: Provide administrative assistance to ensure the efficient operation of the Safe Haven program, including data entry, file management, meeting scheduling, and conference room booking.
- Document Preparation: Prepare and format documents, reports, and presentations as needed, ensuring accuracy and attention to detail.
- Meeting Coordination: Take detailed notes during team meetings to ensure accurate record-keeping and follow-up.
- Supply Management: Purchase supplies for programming and ensure inventory is well-maintained and current.
- Client Support: Assist team members with tasks related to their programming and client needs, including event planning, resource coordination, and outreach activities.
- Communication: Maintain clear and professional communication with clients, team members, and external stakeholders.
- Event Planning: Support the planning and executing of events and workshops by handling logistics and participant coordination.
- Record Keeping: Ensure accurate and up-to-date records of client interactions and program activities.
- Team Collaboration: Participate as a positive and cooperative team member, attend meetings, and participate in Society committees and events as required.
- Policy Adherence: Adhere to Policies and Procedures and Personnel Policies, Procedures, and Practices of the Society.
- Senior Manager Support: Assist the Senior Manager with reconciliation of program credit card, completing reimbursement forms and cheque requests, updating program and senior manager calendar, maintaining files, and coordinating travel arrangements as needed.
- Staff Support: Assist the manager with keeping track of staff leaves, timesheets, and other administrative tasks.
- Education: Post-secondary training or certificate in Office Administration or social services field.
- Experience: Minimum one year of relevant experience in administrative support, program coordination, or a related field, or an equivalent combination of education, training, and experience.
- Skills: Excellent verbal and written communication skills in English, strong organizational and time management skills, ability to work collaboratively within a multicultural team setting, proficiency with MS Windows, MS Word, MS Excel, and internet research, high level of accuracy and attention to detail, ability to handle multiple tasks and adapt to changing priorities in a fast-paced environment.
- Assets: A second language and a valid Driver's license are assets.
