Key Responsibilities:
  • Act as the primary point of contact for tenants, addressing their day-to-day needs and concerns in a timely and professional manner.
  • Maintain accurate and up-to-date records of tenant information, including contact details and emergency contacts.
  • Manage general office tasks, such as supplies, filing, and banking, to ensure a smooth and efficient work environment.
  • Assist with accounts receivable, including reviewing reports, processing payments, and updating records to ensure timely rent collection.
  • Collaborate with property managers to resolve any payment issues and ensure timely rent collection.
  • Prepare and code invoices, and ensure timely approval and payment to maintain a positive cash flow.
  • Support marketing efforts, including social media updates and promotional campaigns, to increase brand awareness and attract new tenants.
  • Work closely with property managers and other team members to achieve property goals and objectives.
Requirements:
  • Fluency in English and French (written and spoken) to effectively communicate with tenants and colleagues.
  • Previous experience in commercial real estate administration, preferably with a focus on property management.
  • At least 5 years of administrative experience, with a proven track record of managing multiple tasks and priorities.
  • Proficiency in MS Office (Word, Excel, Outlook, Access) to efficiently manage administrative tasks and reports.
  • Experience with property management software, although not essential, would be an asset in this role.
  • Strong organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines.
