We are seeking a dedicated Shop Coordinator to support our operations in managing shop employee hours effectively.
JOB OBJECTIVE
To assist in the oversight of timekeeping and labor reporting for shop personnel. Responsibilities include daily management of shop floor staff, ensuring accurate processing of time and attendance, managing absenteeism, and handling overtime requests in compliance with the Collective Agreement.
PRIMARY RESPONSIBILITIES
Time & Attendance Management
- Ensure daily accuracy in the processing of time and attendance records.
- Address error files daily and confirm that all overtime hours are pre-approved.
- Rectify any discrepancies and submit hours to Payroll.
- Input absences into the tracking system daily.
- Manage requests for banked hours within the tracking application.
- Collaborate with Payroll during month-end processes to ensure data integrity.
- Communicate with Payroll regarding any pay discrepancies.
Labor Reporting (SAP)
- Daily upload of labor hours into the SAP system.
- Review and amend any discrepancies found.
- Analyze variance reports from Finance & Accounting for accuracy.
- Generate daily variance reports to inform shop supervision of necessary adjustments.
- Engage in month-end activities with Finance & Accounting to ensure timely and accurate reporting.
Variance Management
- Promptly notify shop supervision of any errors.
- Monitor labor upload issues to ensure timely corrections.
- Execute labor uploads once corrections are confirmed.
- Escalate unresolved issues to the Operations Manager for prompt resolution.
Overtime Management
- Confirm that all overtime hours are properly authorized.
- Assist shop supervision in managing overtime allocation per the collective agreement.
- Update the overtime tracking report weekly.
- Distribute the updated overtime report to shop supervision weekly.
Reporting
- Generate reports to support shop operations, including: Refused Overtime Report, Shop Tracker Error Report, Variance Reports, and Statutory Holiday Requests.
REQUIRED QUALIFICATIONS
- 1 to 2 years of experience in a fast-paced office environment dealing with numerical data.
- High School Diploma.
- Exceptional attention to detail.
- Familiarity with the collective agreement.
- Proficient in MS Word and Excel, including advanced functions like Pivot Tables and VLOOKUP.
- Knowledge of SAP is a plus.
- Strong communication skills with the ability to convey requirements effectively.
- Excellent organizational and multitasking abilities.
The compensation for this role will be competitive and reflective of local market conditions, taking into account the candidate's experience and qualifications. The total compensation package may also include various benefits, including medical and retirement plans.
