Position Overview

The Chief Administrative Officer (CAO) serves as a pivotal leader and consultant, ensuring the department is strategically aligned to fulfill its mission and execute its operational objectives. The CAO is tasked with cultivating and nurturing strategic partnerships with external entities and internal divisions to enhance the department's educational, research, and community engagement initiatives. This role is essential for maintaining stability during periods of transition within the department.

Key Responsibilities

Strategic Planning and Development

  • Offer strategic and confidential guidance to the Department Chair and Associate Chairs in formulating both short- and long-term visions for the department.
  • Provide academic leaders with confidential advice on various operational matters, including human resources and budget management.
  • Actively participate in the Executive Committee, assisting with all facets of departmental strategic planning.
  • Formulate long-term strategies related to program expansion and research initiatives.
  • Oversee space management and coordinate renovation and construction projects.
  • Manage associated research units, ensuring effective financial oversight and performance evaluation.
  • Direct marketing and communication efforts, including digital outreach.
  • Plan and execute departmental events and promotional activities.
  • Foster partnerships with community organizations and professional agencies.

Human Resources Management

  • Supervise recruitment, onboarding, and professional development of administrative and academic staff.
  • Provide direct oversight to operational leads and administrative personnel.
  • Support faculty recruitment and retention efforts.
  • Coordinate onboarding processes for new faculty, ensuring compliance with university systems.
  • Collaborate with university departments to maintain operational compliance.
  • Facilitate succession planning discussions.

Financial Oversight

  • Establish and implement financial controls to ensure departmental compliance.
  • Oversee the development and management of the annual operating budget.
  • Ensure availability of funds to support departmental operations.
  • Monitor financial status of strategic priorities and operational initiatives.
  • Develop business plans for anticipated program changes to ensure financial sustainability.

Academic and Research Operations Oversight

  • Provide consultation for undergraduate and graduate committees.
  • Oversee course budget development and administration.
  • Coordinate scheduling for undergraduate and graduate courses.
  • Supervise teaching staff and ensure smooth departmental operations.
  • Manage procurement and technical support for teaching and research facilities.
  • Support faculty research initiatives and ensure compliance with ethical standards.

Management of Physical Resources and Health and Safety

  • Develop initiatives to optimize resource utilization within the department.
  • Manage space allocations for teaching and research activities.
  • Ensure compliance with safety regulations and training requirements.
  • Oversee security measures and maintenance of departmental facilities.

Qualifications

  • A master's degree with extensive administrative experience in an academic setting.
  • Proven leadership in human resources and administration.
  • Strong understanding of academic and research environments.
  • Excellent interpersonal and communication skills.
  • Proficiency in financial management systems and Microsoft Office.
