Job Title: Administrative Coordinator, PhD

The University of Waterloo is seeking an experienced and detail-oriented Administrative Coordinator to join our Engineering Graduate Studies Office. This is a unique opportunity to work in a dynamic and fast-paced environment, supporting the administration of PhD programs and providing exceptional service to students, faculty, and staff.

Key Responsibilities:
  • Manage day-to-day operations of PhD programs, including comprehensive exams, thesis defenses, and award competitions.
  • Provide administrative support to the Engineering Graduate Studies Committee and Engineering Graduate Operations meetings.
  • Administer Approved Doctoral Dissertation Supervisor (ADDS) status requests and communicate with stakeholders.
  • Assist with the training of new Departmental Graduate Coordinators and provide backup support to the Administrative Coordinator, Master's.
  • Perform other related duties as required.
Qualifications:
  • Bachelor's degree or equivalent combination of education and experience.
  • 1-3 years' experience in a university setting, with a strong understanding of graduate policies and procedures.
  • Excellent problem-solving abilities, strong analytical and organizational skills, and a proven ability to work independently and as part of a team.
  • Intermediate level experience with Microsoft Office and other relevant software.
