Job Summary

The Stock Transfer Administrator is a key member of the Operations Group, responsible for validating and processing transfer requests, supporting shareholder requests, and performing various administrative duties. This role requires strong organizational and communication skills, as well as attention to detail and accuracy.

Key Responsibilities
  • Operate two distinct record-keeping systems to support client shareholder transfer requests
  • Process, review, and validate securities and supporting documentation in accordance with company policies and procedures
  • Coordinate new share issuance and closing mechanics
  • Coordinate printing securities from both systems
  • Provide excellent customer service to brokers, clients, and shareholders at the service counter
  • Receive and distribute items received from the mail or counter
  • Maintain and log outgoing mail and courier tracking and insurance
  • Respond to written and telephone inquiries regarding transfer requirements from shareholders and internal clients
  • Maintain and administer operations manual fees
  • Scan and file signed batch tickets
  • Assemble physical debits processed via virtual remote processing
  • Email DRS transactions and invoices to presenters
  • Ensure compliance with policies, procedures, and regulatory requirements
Requirements
  • Excellent written, verbal, and listening skills
  • Strong computer skills, including MS Office Suite and Google Suite of products
  • High attention to accuracy and detail
  • Ability to organize and prioritize tasks and effectively communicate with peers and all levels of the company
  • Working knowledge of the securities industry as it relates to back-office administration
  • Ability to adapt to a changing environment and responsibilities
  • Flexible schedule to work overtime as required
  • 1-3 years of experience in an administrative role
  • Canadian Securities Course and similar courses are preferred but not essential
  • Bilingual in English/French is an asset
