Your contributions to the team:

  • Provide confidential administrative support to the General Manager of Challenger Programs.
  • Execute complex administrative tasks that require a deep understanding of business operations and practices.
  • Manage situations or resolve ambiguous issues with sound judgment.
  • Oversee daily activities and maintain organized files.
  • Coordinate meetings, appointments, and reservations while managing the agenda.
  • Compile and update data for various departmental reports (labor, PO contractor, overtime report, weekend coverage, etc.).
  • Propose process enhancements.
  • Ensure that files are current, verify and approve service expenses, and update financial documents, ensuring compliance with requirements and internal guidelines.
  • Take ownership of specific projects.
  • Maintain the filing system and manage documents effectively.
  • Filter incoming calls and follow up on various information requests related to the department.
  • Participate in the social committee, engaging in monthly activities on site.
  • Collaborate daily with other administrative assistants across the site.

How to excel in this role? Skills, knowledge & experience:

  • A college diploma in office management or a related field.
  • Over eight (8) years of relevant experience or equivalent.
  • Results-oriented with the ability to work independently.
  • Capable of thriving under pressure and managing multiple tasks in a fast-paced environment while maintaining a positive and proactive attitude.
  • Extensive knowledge of computer applications, including word processing, spreadsheets, databases, and presentation software.
  • Fully bilingual in English and French, both spoken and written.
