Healthcare Administrative Coordinator
At Canadian Health Solutions, our Healthcare Administrative Coordinators play a vital role in assisting the management and clinic personnel while ensuring a seamless experience for our clients. This full-time position requires outstanding organizational and communication skills to effectively engage with external clients, vendors, and visitors.
Key Responsibilities
- Welcome and assist external clients, vendors, and visitors to our clinic as necessary.
- Manage incoming calls, triage inquiries, relay messages, and handle correspondence through fax and mail. Ensure the efficient flow of information to the clinical team.
- Communicate and follow up with clients and other healthcare practices to obtain necessary medical information, including reports.
- Oversee the administration and processing of clinical intake forms, questionnaires, and consent documents directly with clients.
- Maintain and organize client files, both paper and electronic, prepare medical charts, and manage the indexing of medical records.
- Support MRI Technologists as needed within the clinical environment.
- Utilize Microsoft Office Suite, including Word, Excel, and Outlook, along with other relevant medical software.
- Perform daily closing procedures for financial transactions.
- Secure the clinic premises at the end of the workday.
- Engage in additional clinical projects and tasks related to client files as assigned.
Qualifications
- Willingness to work flexible shifts, including days, evenings, and weekends.
- Proficient in Microsoft Office applications, particularly Outlook, Excel, and Word.
- Strong organizational and time management abilities, with a critical capacity to multitask.
- Ability to prioritize and manage multiple tasks effectively, often under pressure.
- Exceptional interpersonal skills with demonstrated leadership capabilities.
- Excellent verbal and written communication skills, including attention to detail in spelling and grammar.
- Proficient typing skills with a focus on accuracy.
- Commitment to maintaining confidentiality and discretion regarding client information.
- Detail-oriented with a proactive approach to meeting deadlines.
- Demonstrated motivation, maturity, and reliability.
