Key Responsibilities
Facilitate customer support by addressing their daily supply and service requirements, while efficiently organizing and processing requisitions and disbursements through procurement systems and software applications. Perform clerical functions such as reconciling invoices, liaising with suppliers for invoice adjustments, and executing various administrative tasks including document preparation and data management. Draft sourcing documentation and conduct thorough research to maintain master contract files, supporting Buyers and Leads in alignment with established sourcing methodologies.Duties Include:
Managing orders for supplies, equipment, and services using computerized procurement systems, ensuring accuracy in requisition processing, vendor communication, and order tracking. Maintaining data integrity across supply chain records, entering new items and updates as directed by management. Investigating and resolving discrepancies related to invoices and receiving, ensuring effective communication with internal and external stakeholders. Collaborating with the Buyer and management to assist in contract sourcing and reviewing competitive bid responses, providing analytical support as needed. Engaging with customers to ascertain requirements, source supplies, and facilitate product demonstrations while processing related documentation. Executing clerical duties in accordance with the Supply Chain Sourcing Methodology, including data entry, document preparation, and correspondence management. Preparing and maintaining contract documentation and registry updates, ensuring compliance with established policies. Conducting product evaluations and compiling responses for assessment. Addressing routine inquiries related to order management and coordinating communications for distribution. Performing general clerical tasks, including minute-taking during meetings.Qualifications
Completion of Grade 12 with supplementary accounting coursework and a minimum of three years of relevant experience, or an equivalent combination of education and experience. Strong written and verbal communication skills. Proven ability to interact effectively with others. Excellent organizational skills. Physical capability to fulfill job responsibilities. Proficiency in operating relevant equipment.Skills & Knowledge
