Job Summary
The Ops Coordinator plays a crucial role in delivering operational assistance by managing the quality, service, and administrative tasks within the pickup and delivery sector. This position is responsible for the effective dispatch of transportation resources in alignment with the Linehaul strategy to optimize costs while ensuring service reliability. The Ops Coordinator also conducts process evaluations to guarantee adherence to regulatory standards.
Essential Functions1. Monitors daily facility performance metrics related to service, safety, cost, and quality.
2. Investigates potential performance discrepancies and collaborates with Business Contacts and Authorized Officers (BC/AO) to address them.
3. Reviews report inaccuracies with relevant parties, including administrative personnel and BC/AOs, ensuring corrections are made in the appropriate systems and metrics are accurately reported.
4. Communicates operational updates to BC/AOs of Independent Contractors (ICs), Independent Service Providers (ISPs), and temporary agency staff regarding daily operations, including requested load plan modifications, and implements these changes into the Vision/VRP systems.
5. Analyzes operational metrics with BC/AOs that impact daily planning and performance, focusing on service quality and customer satisfaction.
6. Investigates customer service issues, such as disputed deliveries and missing packages, ensuring resolved matters are communicated directly to customers for satisfaction.
7. Escalates unresolved concerns to appropriate management levels.
8. Maintains and updates vehicle maintenance records for all temporary and company-owned assets, ensuring compliance with contract standards and Department of Transportation (DOT) regulations.
9. Creates and maintains accurate files for company and vendor equipment, ensuring all insurance and maintenance documentation is current.
10. Assists in developing and implementing corrective action plans for any discrepancies identified in Business Control Self Assessment (BCSA) tests.
11. Coordinates the dispatch of linehaul transportation equipment, accurately entering all dispatch events into the online system to ensure timely trailer delivery and pickup.
12. Conducts yard inventory to confirm equipment locations.
13. Investigates and reports on linehaul schedule delays, accidents, and equipment failures, implementing contingency plans to ensure on-time delivery in case of breakdowns or accidents.
A high school diploma or GED is required; a Bachelor's degree in Business, Logistics, or a related field is preferred.
Minimum ExperienceExperience in administrative support, customer service, or dock operations is preferred.
Required Skills, Abilities, and Licensure1. Strong customer service skills to professionally address requests and issues.
2. Excellent time management, organizational, and multitasking abilities to thrive in a fast-paced team environment while maintaining attention to detail and accuracy.
3. Effective verbal and written communication skills for interaction with diverse audiences.
4. Proficiency in reading, interpreting, and drawing conclusions from numerical data and written information.
5. Software proficiency, including Microsoft Office and web-based applications.
6. Knowledge of transportation regulations and practices relevant to Pickup and Delivery and Linehaul operations, including DOT regulations.
This is a part-time permanent position. Bilingual proficiency is required. Availability to work Tuesday to Friday from 14:00 to 19:00 and Saturday from 9:00 to 14:00 is essential. Flexibility to work weekends and during peak periods is necessary.
