Key Responsibilities

Contract Oversight

Draft and manage agreements that facilitate educational initiatives, including faculty contracts, speaker arrangements, honorariums, liability waivers, and property loans. Maintain a comprehensive repository of approved contracts ensuring adherence to established policies, industry standards, and relevant legislation. Ensure that finalized agreements are systematically archived in accordance with retention schedules and compliance standards. Conduct regular training sessions to keep program staff informed about regulatory changes affecting their roles.

Faculty Agreements

Provide detailed guidance to international faculty on navigating tax waiver applications through government resources. Stay updated on immigration regulations to provide accurate information to faculty regarding their legal entry and work status in Canada. Oversee contract terms, including processing payments, managing reimbursements, arranging travel, and coordinating accommodations. Ensure all necessary government documentation is completed, including Social Insurance Numbers and work permits. Manage room reservations for faculty and sessional directors on campus.

Financial Responsibilities

After program completion, reconcile agreements and submit invoices for all billable activities to the finance department. Ensure timely processing of all contract-related financial transactions. Prepare annual reports and other required financial documentation. Assist program directors with the management of accruals and deferrals related to faculty expenses.

Qualifications and Skills

Minimum of 3 years’ experience in an administrative support role, ideally within a non-profit or corporate responsibility context. Bachelor’s degree or equivalent experience in arts, business administration, or a related field. Strong interpersonal and client service skills; self-motivated. Proven ability to work independently and achieve objectives. Excellent organizational skills with a keen attention to detail and ability to meet deadlines. Proficient in Microsoft Office applications. A passion for the arts and leadership, with an appreciation for mountain cultures.
