Reporting to the Manager of Emergency Management and Facilities, the Facilities Support Services Coordinator plays a crucial role in executing assigned responsibilities and offering assistance related to the administration and upkeep of office facilities. This role emphasizes maintaining a secure and efficient workplace.

The Facilities Support Services Coordinator is dedicated to achieving objectives while adhering to established service agreements, timelines, and quality standards.

Key Responsibilities

Facility Management and Maintenance:

- Cultivates relationships with property management to facilitate necessary maintenance and repairs within the office environment.

- Oversees maintenance and repair requests for equipment and furnishings, ensuring alignment with service agreements and organizational protocols.

- Conducts site evaluations with contractors and property representatives to verify compliance with service agreements and reports any issues to the Facilities Manager.

Fixture Management:

- Implements workstation modifications based on ergonomic assessments.

- Coordinates logistics for office relocations in collaboration with management and external service providers.

- Procures office fixtures in accordance with the organization's purchasing policies.

Support Services:

- Provides comprehensive support to all offices, including managing the ordering and delivery of supplies, distributing correspondence, and processing materials and services.

Office Support Functions:

Supplies Management

- Maintains adequate inventory levels of office supplies and forms.

- Processes orders for various office locations.

- Fulfills supply requests from service providers and replenishes stock as needed.

Mail and Courier Services

- Manages the receipt and distribution of incoming mail and courier packages, as well as the processing of outgoing items.

Qualifications

- High school diploma or equivalent.

- At least two years of experience in office or facility operations, maintenance, or logistics.

- Proficient in basic computer applications, including word processing and Microsoft Office.

- Fluency in English; bilingualism is preferred, with a basic understanding of oral French being an asset.

- Strong communication, interpersonal, and customer service skills.

- Excellent multitasking and prioritization abilities, with a keen attention to detail.

- Self-motivated and capable of working both independently and collaboratively.

Work Schedule

- Standard hours are Monday to Friday, 8:30 AM to 4:30 PM (35 hours per week).
