Position : Operations Manager
Work Location : Diocese of London
Commitment : Part-time, flexible hours to be determined in consultation with the leadership team to meet operational needs.
Compensation : Salary based on experience and organizational policies. This role includes eligibility for participation in the employee benefits program.

POSITION SUMMARY
Reporting to the leadership team, the Operations Manager will oversee and coordinate various operational and administrative functions, including finance, facilities management, office administration, human resources, communication, and fundraising initiatives. SUMMARY OF DUTIES
  • Directs the administration of the operational offices to ensure effective and efficient operations in areas such as reception, communications, procurement, technology, custodial services, safety, and security.
  • Supervises and collaborates with the finance team, including responsibilities such as signing authority for payments and contracts, overseeing financial disbursements, preparing required financial reports, and ensuring timely completion of financial reconciliations.
  • Develops and implements strategies for the maintenance and health of facilities, managing contractors to ensure quality work and adherence to budgetary constraints.
  • Engages with various departments within the organization to ensure compliance with policies and guidelines, facilitating effective communication and collaboration.
  • Makes informed recommendations and takes necessary actions to ensure the financial stability of the organization.
  • Coordinates and oversees fundraising activities, ensuring adherence to established policies and procedures.
  • Supports and participates in finance and facilities committee meetings.
  • Manages volunteer policies and oversees the engagement of volunteers in property management and event coordination.
  • Conducts human resources functions for staff positions, including recruitment, training, performance management, and compliance with organizational policies.
  • Ensures adherence to health and safety protocols across all locations and coordinates necessary training for staff and volunteers.
  • Performs additional duties as assigned by the leadership team.
QUALIFICATIONS, REQUIREMENTS AND PREFERENCES
  • A degree or diploma in business administration or finance, or substantial practical experience in these fields is preferred.
  • Proven supervisory or managerial experience in a professional environment is required.
  • Experience working collaboratively with volunteers and committees is preferred.
  • Strong interpersonal skills along with excellent verbal and written communication abilities are essential.
  • Advanced problem-solving skills and the ability to work collaboratively are necessary.
  • Proficiency in Microsoft Office applications, including Microsoft 365, is required.
  • An understanding of the Catholic faith and respect for its community and leadership is essential.
  • Flexibility to work non-standard hours, including evenings and weekends, as needed.
  • A background check may be required for the successful candidate.
