Job Title: Executive Secretary - Office of the Superintendents

Job Summary: We are seeking a highly skilled and organized Executive Secretary to provide administrative support to the Superintendents in the Office of the Superintendents. The successful candidate will be responsible for managing all aspects of the Superintendents' office, planning and organizing meetings, and preparing reports.

Key Responsibilities:

  • Provide administrative support to the Superintendents, including managing their schedules, coordinating meetings, and preparing reports.
  • Plan and organize meetings, special events, and other activities related to the Superintendents' portfolios.
  • Prepare and manage formal reports to the Board, departmental reports, and committee reports.
  • Act as a liaison between the Office of the Superintendent and parents, guardians, and community members.
  • Manage the accurate and timely reporting on TPON.
  • Board contact for insurance inquiries.
  • Preparation of financial transactions.
  • Management of various department and project budgets.

Requirements:

  • Secondary school diploma, plus three years post-secondary education and/or training in clerical administration.
  • Three to five years of experience as an Administrative Assistant/Executive Assistant, managing multiple priorities and working with individuals in leadership.
  • Strong interpersonal and written and oral communication skills.
  • Excellent computer skills, including Microsoft Office Suite, Word, Excel, PowerPoint, and Teams.
  • Ability to work independently with minimal supervision.
  • Ability to interact with various groups and individuals, both internal and external to Lakehead District School Board.
  • Strong human relations skills.
  • Excellent planning and organizational skills combined with the ability to manage multiple priorities and work with frequent interruptions.
  • Well-developed executive administration skills combined with the ability to respond to administrative needs and requirements in a flexible, timely manner.
  • Ability to handle information of a confidential and/or sensitive nature with tact and diplomacy.
