About the Role:

Reporting directly to the VP of Sales and Marketing, the Senior Sales Operations Coordinator will be responsible for managing all facets of real estate transaction processing. This includes ensuring compliance, quality assurance, and financial oversight, while also handling agent accounts and preparing necessary legal documentation. Furthermore, the role encompasses coordinating marketing initiatives, maintaining operational efficiency, and ensuring a superior customer experience through effective interdepartmental collaboration.

Key Responsibilities:

  • Supervise all aspects of transaction processing, including quality assurance, entry, closings, deposit management, compliance, advances, and expenses
  • Oversee agent accounts, billing, transaction preparation, file management, and compliance
  • Draft agreements of purchase and sale, addendums, and manage the Sales Management System with pricing and relevant data
  • Develop marketing materials such as brochures and sales inserts
  • Produce daily and weekly reports for management review
  • Test agreements prior to launch and manage color selection lists
  • Maintain office supplies and manage deficiencies and outstanding lists
  • Handle all deposit cheques and banking responsibilities
  • Review, audit, and update purchaser files for accuracy
  • Process assignments and manage related cheques
  • Manage parking and locker inventories, coordinating with sales and marketing teams for allocation
  • Ensure a seamless Purchase of Sale process using the Sales Management System
  • Collaborate with other departments to enhance the customer experience
  • Review APS amendments
  • Track commission invoices and request replacement cheques from purchasers when necessary
  • Address purchaser inquiries and update purchaser files with lawyer information
  • Maintain status and sales reports, and audit files for final closing
  • Train additional administrative staff
  • Organize filing systems for all purchaser files at the head office

Required Skills and Qualifications:

  • Strong client relationship management capabilities
  • Ability to maintain confidentiality and handle sensitive information
  • Exceptional attention to detail and highly organized
  • Comprehensive knowledge of real estate terminology, processes, and industry practices
  • Understanding of relevant requirements and deal closing protocols

  • Self-motivated, able to work independently and take initiative
  • Effective communication skills with all levels of the organization and the public
  • Proficient in Sales Management Systems, Microsoft Office, Excel, Dropbox, and scheduling tools

Location & Hours:

  • This position is based out of our main office and may require some travel.
  • A flexible schedule is necessary, with regular hours typically from Monday to Friday. Weekend shifts may be scheduled as needed to meet project demands, and occasional evening work may also be required.

Education and Experience:

  • Post-secondary education in Business Administration or a related field
