Role Summary:

The Healthcare Administrative Coordinator will be a vital member of an integrated team, delivering a range of administrative and support functions within a multidisciplinary environment. This role serves as the initial point of contact for youth and families, providing compassionate and non-judgmental assistance. You will uphold a client-centered approach while promoting safety and respect among all stakeholders.

Key Responsibilities:

  • Actively participate as a core member of the multidisciplinary team.
  • Manage reception duties, process client intakes and referrals, respond to inquiries, and schedule appointments.
  • Serve as a Medical Office Assistant for primary care initiatives.
  • Screen and prioritize incoming communications via various channels.
  • Maintain appointment schedules and manage information for designated personnel.
  • Prepare and process reports, forms, and correspondence.
  • Oversee client records and ensure compliance with established protocols.
  • Engage with the public in a courteous and tactful manner.
  • Foster effective working relationships with colleagues, clients, and external service providers.
  • Utilize technology effectively, including proficiency in Microsoft Office and clinical databases.
  • Maintain confidentiality and communicate effectively in both verbal and written formats.
  • Manage multiple tasks, problem-solve, and prioritize workload efficiently.
  • Assist in the collection of statistical data and reporting.
  • Identify and manage inventory levels of office and medical supplies.
  • Demonstrate knowledge of medical terminology and office management practices.
  • Perform additional duties as required.

Qualifications:

  • Completion of a recognized medical office assistant program, with at least one year of relevant experience.
  • Experience working with diverse populations, particularly youth.
  • Ability to manage physical demands of the role.
  • Successful completion of a criminal record check.
  • Three professional references.
