Personal Lines Support Specialist

As a Technical Assistant, you will play a vital role in supporting the Personal Lines division by ensuring that all documentation is accurate and processed efficiently for client delivery. Additionally, you will be responsible for maintaining the integrity and completeness of our internal records.
KEY RESPONSIBILITIES:
- Manage documentation for renewals, new business, and endorsements, including letters, invoices, and summaries, adhering to FCA guidelines and client-specific requirements.
- Review endorsements for discrepancies from original requests; collaborate with Practice Specialists as needed; return incorrect documents to Insurers for correction.
- Update Acturis applications to reflect current policy terms and adjust annual premiums on policy screens when necessary.
- Customize letters, invoices, and summaries to highlight changes or issues for clients.
- Set appropriate payment follow-up dates for Producers/Practice Specialists; close follow-ups once correct documents are received and processed.
- Ensure a minimum of 30 days' lead time for processing renewal documents from Insurers, aiming for a preferred lead time of 45 days.
- Prioritize processing of endorsements and new business documents received.
- Keep system activities updated and ensure additional comments or redirections are accurate.
- Follow up with Insurers for outstanding renewals, generating late notification letters with liability certificates and/or binders for clients if documents are not received within 10 days of expiry.
- Send second requests for outstanding endorsements and cancellations, contacting the Insurer if necessary.
- Respond to requests from Lienholders/Lessors/Mortgagees for copies of insurance policies; issue certificates of insurance when holding a RIBO license, as requested by Practice Specialists or management.
- Assist fellow Technical Assistants with processing to prevent departmental backlogs.
- Perform other duties or special projects as assigned, which may include ordering MVR and other underwriting reports or responding to simple underwriting inquiries from Insurers.
- Collaborate with team members for additional duties as needed, including covering for absent colleagues and coordinating schedules to maintain adequate staffing levels.
- Contribute to the professional atmosphere and appearance of the office.
- Build and maintain positive, respectful, and collaborative relationships with all FCA staff.
- Foster productive relationships with Insurers.
- Commit to ongoing participation in formal and informal training opportunities, as this is a 'training position' where Technical Assistants should familiarize themselves with available resources.
- Engage fully in team efforts to enhance production and customer service.
- Adhere to the RIBO Code of Conduct, FCA Privacy policy, and other FCA procedures in all professional interactions.
QUALIFICATIONS:
- Postgraduate program in insurance management is an asset.
- Experience with Acturis is required.
- Excellent communication and interpersonal skills.
- Knowledge of insurance products, industry regulations, and underwriting processes is beneficial.
- Proficiency in Microsoft Office is essential.
As a Technical Assistant, you will collaborate with your team to ensure efficiency and accuracy in service delivery, which is crucial for client retention.
