Job Summary

We are seeking a highly organized and detail-oriented Proposal Coordinator to join our team. As a Proposal Coordinator, you will work closely with project managers and collaborate with various proposal contributors and technical reviewers to develop and progress assigned proposals from kickoff to submission. Your primary responsibility will be to assume the role of proposal support lead (PSL) on assigned proposals, focusing on non-technical requirements and working closely with a project manager assigned as the proposal technical lead (PTL).

Key Responsibilities
  • Coordinate and schedule meetings on assigned proposals, ensuring timely and effective communication among team members.
  • Gather information prior to kickoff meetings, including prior loss rationale, prior projects, and competitors listed on the bid site.
  • Collect and distribute meeting notes and assigned action items, ensuring seamless collaboration among team members.
  • Prepare proposal development timelines in consultation with the PTL, ensuring alignment with project goals and deadlines.
  • Prepare initial proposal drafts, following RFP requirements, and gathering and/or drafting non-technical proposal content and requirements for response, excluding cost estimates.
  • Conduct editorial and thorough compliance reviews, ensuring accuracy and adherence to proposal development milestones and deadlines.
  • Regularly follow up with the proposal technical lead and other team members to ensure adherence to proposal development milestones and deadlines.
  • Format, assemble, and submit proposals following authorization, ensuring timely and effective submission.
  • Support the proposal director by completing tasks related to broader proposal program components and processes, such as boilerplate development, resume maintenance, and CRM updates.
Requirements
  • Post-secondary education in administration, marketing, business, or a related field is preferred.
  • At least 3 years of experience in administrative support or a junior technical role, preferably in environmental consulting or engineering.
  • Proposal experience is preferred but not mandatory.
