Role Summary

The Research Grant Specialist spearheads the research grant application process at Red Deer Polytechnic. This role is designed to boost the research funding awarded to the polytechnic community by enhancing application success rates and identifying as well as promoting funding opportunities.

This position is responsible for coordinating the submission of applications to research funding bodies. The incumbent will manage the pre-award grant application process and provide strategic guidance to applicants on effectively meeting grant criteria. The role includes analyzing and interpreting grant requirements and reviewing applications to ensure they are complete and compliant. Additionally, this position plays a significant role in the post-award grant coordination process.

The ideal candidate must demonstrate the ability to analyze, interpret, and make recommendations in alignment with the policies and practices of both the Polytechnic and external organizations. Flexibility, confidentiality, and the ability to work under pressure to meet stringent deadlines are essential. The incumbent will collaborate with colleagues throughout the institution to provide clarity and guidance on the grant administration cycle. Reporting will be to the Director, Resiliency & Child Advocacy, while day-to-day supervision will come from the Applied Research Specialist.

Key Responsibilities
Pre-Award Grant Management
  • Establishes procedures for each stage of the pre-award process, tailored to each grant type.
  • Facilitates the application and review process, collaborating with other departments involved in the review for guidance and recommendations.
  • Advises faculty and staff interested in applying for grants, informing them of requirements and assisting in proposal development, including budgeting.
  • For institutional platform grants, aids in drafting funding proposals.
  • Sets and communicates internal deadlines for grant applications, notifying relevant parties if timelines are not adhered to.
  • Reviews grant applications prior to submission to ensure all requirements and specifications are met:
    • Provides strategic insights to grant applicants on how to effectively meet funder requirements and present their projects.
    • Ensures compliance of grant applications and processes with internal policies and external grant conditions.
    • Reviews applications for issues related to intellectual property, confidentiality, and conflict of interest.
    • Facilitates necessary institutional reviews of applications.
  • Coordinates the timely submission of grant applications post-institutional review.
  • Records and monitors submitted grant applications, analyzing factors contributing to success or failure.
  • Maintains up-to-date knowledge of RDP and external funding agencies' policies and procedures regarding grants and contracts.
Post-Award Grant Management
  • Oversees various grant reporting requirements in consultation with the Division of Applied Research and Finance.
  • Develops procedures for each stage of the post-award process for different grants.
  • Communicates grant reporting requirements to grant holders and relevant departments, including ethics, financial management, and staffing.
  • Facilitates tracking of necessary approvals to ensure funds are not released until requirements are met.
Funding Opportunity Identification
  • Identifies funding opportunities that align with RDP's strategic research priorities.
  • Creates and maintains content for the grants section of the Research Common website.
  • Provides training on grants, including writing, submission, fulfillment, and reporting processes.
  • Develops and conducts workshops on grant writing and funding strategies in collaboration with the Research Common Planning Group.
Additional Responsibilities
  • Completes special projects as assigned, such as procedure development or event planning.
  • Assists Division of Applied Research staff with research projects as needed.
  • Monitors changes to external funder policies and assesses their impact on RDP policies; collaborates with stakeholders to recommend policy adjustments.
  • Performs other related duties as assigned by the Division of Applied Research.
Qualifications
  • Four-year undergraduate degree or equivalent education and experience.
  • Over three years of experience in Research and/or Grant Administration.
  • Experience working in a professional office environment, ensuring confidentiality and professionalism.
  • Minimum of three years managing academic grant applications at provincial and federal levels.
  • Proven project management capabilities, preferably in an academic setting.
  • Experience leading effective workshops.
  • Strong proofreading and grammar skills with attention to detail.
  • Excellent written and verbal communication abilities.
  • Exceptional analytical and research skills with a focus on detail.
  • Proficient in Microsoft Office and other relevant software.
  • Understanding of budget and funding processes related to grants.
  • Able to work independently and manage multiple tasks.
Preferred Qualifications
  • Research Administration certification.
  • Master's degree or equivalent experience.
Compensation

Salary: $67,772 - $79,283
