We are looking for a proactive individual to take on the role of Brokerage Coordinator. In this essential position, you will provide consistent, efficient, and timely assistance to our esteemed Office Brokerage Team. Collaborating closely with key stakeholders and clients, you will manage, prioritize, and organize all aspects of listings and transaction details. This dynamic team thrives in a fast-paced environment, and your meticulous attention to detail, robust organizational skills, and collaborative spirit will be crucial in delivering outstanding support services.

RESPONSIBILITIES:

  • Collaborate with the Broker Lead to translate leadership's business goals into actionable strategies and implement those strategies effectively.
  • Develop, review, and prepare market surveys, tour books, and presentations.
  • Assist in the deal-making process as needed: edit lease offers/Letters of Intent, track ongoing offers, and ensure proper execution; coordinate the flow of documentation and information between the company and clients.
  • Organize and facilitate client and broker events in collaboration with the administrative team.
  • Support all property marketing initiatives, including using InDesign/Canva templates for brochures, signage, and other marketing materials; deploy property marketing email campaigns via Eloqua; utilize social media platforms for property promotion; and coordinate with photographers and virtual tour providers.
  • Lead the management of signage requirements for the team, including creative design, production, vendor coordination, and tracking.
  • Perform tasks related to SAR & Dealio, such as preparing report updates, entering database entries, maintaining cheque registers, ensuring timely invoicing, and following up with stakeholders.
  • Prepare and submit relevant brokerage authority report updates.
  • Work with the research team to create demographic materials.
  • Prepare, review, and edit necessary documents, including legal paperwork, mandates, and commission agreements.
  • Accurately prepare and submit expenses in a timely manner.
  • Actively engage in team workflow management to ensure collaboration across business lines regionally and nationally.
  • Partner with Marketing & Brokerage Support Lead, Design Hub, and Marketing Coordinators to execute top-tier property marketing plans.
  • Attend and contribute to all Marketing and Brokerage Support meetings led by National Marketing and/or the Marketing & Brokerage Support Team Lead.
  • Proofread documents as necessary.
  • Stay informed and advocate for the use of JLL technologies.
  • Undertake any other reasonable duties as assigned.
  • Maintain proficiency in all required software, including Microsoft Office suite, Dealio, CoStar, and others.
  • Coordinate accounts payable with the finance department.
  • Provide administrative support to facilitate the sales cycle as needed.

QUALIFICATIONS:

  • A Bachelor's Degree is preferred, but not mandatory.
  • A minimum of 3 years of relevant office experience or a combination of education and experience.
  • Experience in the real estate sector and/or lease administration is advantageous.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint & Outlook) is essential.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Must exhibit a proactive and intuitive approach to handling situations.
  • Flexibility and motivation with a willingness to take initiative are crucial.
  • Strong attention to detail is required at all levels.
  • Excellent interpersonal skills and the ability to work collaboratively with team members and clients.
  • Strong writing, proofreading, and editing skills are necessary.
  • An optimistic and outgoing personality with excellent follow-through is essential.
  • Must maintain confidentiality and exercise sound judgment while working independently.
