ROLE SUMMARY
As a vital member of our Operations team, the Client Solutions Event Specialist plays a crucial role in supporting Client Solutions Managers and the overall Operations department in executing top-tier conferences and events within the Institutional Division.
KEY RESPONSIBILITIES
- The Client Solutions Event Specialist is a skilled multi-tasker, adept at managing a variety of responsibilities.
- Collaborates within a Project Team to oversee all stages of project execution: Preparation, on-site management, and post-event wrap-up.
- Coordinates client deliverables across diverse areas, including but not limited to: program logistics, abstract management, speaker coordination, catering logistics, venue/hotel arrangements, sponsor and exhibit oversight, budgeting, marketing, and creative services.
- Engages in booking and coordinating supplier contracts and orders, negotiating terms to benefit both MCI and the client.
- Develops and manages virtual platforms and events as necessary.
- Maintains project timelines, priorities, and comprehensive checklists.
- Supervises and trains on-site personnel, suppliers, and event contractors.
- Manages and leads smaller projects as required.
- Participates in client-facing meetings and conference calls, providing updates as needed.
- Keeps documentation and user manuals current while working on the development of new templates.
RELATIONSHIP MANAGEMENT
- Reports directly to the Senior Manager, Client Solutions.
- Provides leadership to Project Assistants when applicable.
- Collaborates internally with Client Solutions Managers, Client Solutions Coordinators/Assistants, Accounting, and Sponsorship Managers.
- Works closely with all members of the MCI Global teams.
- Maintains professional relationships with clients, suppliers, and temporary staff.
- Delivers exceptional customer service to conference delegates, speakers, and VIPs.
QUALIFICATIONS
- A minimum of five years of relevant experience in the industry, including association management, event management, hospitality, or non-profit sectors.
- A degree or diploma in Business, Administration, Hospitality, Event Management, or a related field, or equivalent experience.
- Excellent verbal and written communication skills in both French and English.
- Ability to thrive in a fast-paced environment while managing multiple projects simultaneously.
- Familiarity with the association and non-profit business landscape.
- Willingness to travel as required.
- Capability to work effectively from home and the MCI office as needed.
TECHNICAL SKILLS
- Strong computer proficiency is essential: Highly skilled in SharePoint, Excel, Word, PowerPoint, Outlook, and Canva. Ability to utilize software and technology to organize and present client data effectively.
- Experience with various technology systems, including Learning Management Systems and Email Marketing Platforms.

- Additional requirements include the ability to work extended hours during strategic planning sessions and on-site event execution.
- Moderate lifting and considerable walking and standing may be necessary during events.
- Must be bondable.
